Program Manager

• Orchestrate and lead TA and company initiatives involving TA, including owning the full project strategy and execution working cross functionally with multiple departments and teams.
• Research talent acquisition solutions and collaborate on managing vendor relationships, effectiveness of partnerships to make recommendations for optimization.
• Own, configure, and continuously optimize the ATS (Greenhouse) and TA tech stack.
• Create and maintain job posting templates and offer letter templates, as well as Talent Acquisition SOP documents.
• Support recruiters and hiring managers with coordinating hiring events and coordination.
• Develop and deliver regular and ongoing Talent Acquisition focused training for Octave’s Hiring Managers and interview teams.
• Create, update, and maintain recruiting process documentation, team documentation, and training materials; publish these materials on appropriate platforms.
• Prepare and analyze weekly, monthly, and quarterly reports to provide information to make business decisions.
• Maintain compliance with federal, state, and local employment laws and regulations by partnering with people experience and legal team.
• Own, build, and optimize integrations across the TA tech stack (ATS, CRM, Sourcing tools, and automation platforms) and troubleshooting.
• Manage and build tools like ATS (Greenhouse), CRM (Gem), Automation/integration tools (Tray.io), Scheduling tools, assessment platforms, and background check vendors.
• Partner with other departments as needed to ensure seamless data flow and integrations.
• Monitor system utilization, data integrity, and reporting accuracy.
• Build, maintain, and analyze cost-per-hire and other key Talent Acquisition metrics to drive data-informed decision making and optimize recruiting spend.

Data Engineer

• Design, build, and maintain scalable systems for ingestion, transformation, and storage of data, with a focus on testing and observability.
• Implement frameworks, tooling, and automation to safely increase development velocity.
• Develop foundational end-to-end AI/ML workflows from (1) source ingestion and preparation, (2) training and tuning, (3) experimentation and productionization, and (4) downstream systems integration (EHR modules, micro-services, dashboards).
• Support iterative model development and production operations and observability (accuracy, drift, bias, fairness, reproducibility).
• Contribute to a culture of continuous improvement, knowledge-sharing and mentoring of peer engineers.

Data Analyst

• Partner closely with clinical, operations, product, and engineering teams to identify key business problems and develop analytics solutions that drive growth and innovation.
• Develop dashboards, reporting, and self-service tools that enable teams to monitor performance and make data-informed decisions.
• Communicate insights and recommendations clearly to both technical and non-technical stakeholders and guide understanding of clinical quality and provider product needs.
• Collaborate with peers to design and maintain data models within Octave’s data warehouse to ensure reliable, scalable datasets that support analytics across the organization.

Client Services Representative

• Manage and respond to client communications across various platforms, such as over the phone, via email and chat in a timely, warm and efficient manner utilizing approved templates and/or workflows. Escalating any potential issues as needed.
• Be a go-to resource for client education about Octave services.
• Assist with onboarding new clients for Octave services, including the completion of paperwork and collection of billing information.
• Collaborate with colleagues to explore innovative ways to streamline processes and meet service standard goals.
• Embody Octave’s mission to deliver extraordinary care in every interaction with clients and colleagues.
• Accurately document client interactions in systems and escalate issues as needed.
• Learn and follow protocols for client intake, scheduling, and general support.
• Support team projects and administrative tasks as assigned.

Recruitment

• Manage the full cycle, high volume recruitment process for signing fully licensed clinicians to join Octave's growing network of providers across multiple states.
• Collaborate with Octave’s recruitment team and stakeholders to align on sourcing priorities and candidate profiles.
• Execute sourcing strategies using data, market insights, and your recruiting experience.
• Represent Octave professionally to candidates and maintain a high-quality candidate experience.
• Provide feedback on recruiting tools, strategies, and processes when relevant.
• Participate in 2–3 scheduled team meetings per week to stay aligned with priorities and updates.
