About the role
- Coordinate and manage the completion of client surveys and vendor due diligence questionnaires.
- Gather information from internal teams to ensure accurate and timely responses.
- Maintain records and databases of survey responses and vendor information.
- Respond to client, vendor, and internal requests for documentation related to audits, compliance, and regulatory inquiries.
- Identify opportunities to improve survey and questionnaire processes and stay informed on industry best practices.
- Support firmwide initiatives by collaborating with project managers, technical teams, and business stakeholders.
- Monitor business processes for compliance with legal and regulatory requirements and identify areas for improvement.
- Participate in project meetings, prepare materials, and communicate updates on project status, timelines, and deliverables.
- Gather and analyze data across departments to support new policies, workflows, programs, and operational improvements.
- Prepare reports and presentations for management outlining plans, challenges, and proposed solutions.
- Work cross-functionally to resolve issues and implement process improvements.
- Provide administrative and project management support to the Senior Firmwide Operations Project Manager.
- Participate in project meetings and communicate updates on tasks and progress.
- Collaborate with cross-functional teams to solve problems and implement operational changes.
Requirements
- A Bachelor's degree (B. A.) from four-year college or university
- A minimum of 3 years of experience, ideally within administration, customer service, market research or vendor management.
- Strong time management and organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) and document management systems and software.
- Strong written and verbal communication skills, with the ability to interact effectively with attorneys, staff, and clients.
- Collaborative, service-oriented mindset with strong interpersonal skills and professionalism.
- Proactive, flexible, and detail-oriented, with the ability to work independently and support multiple projects.
