Community Manager

• Efficiently manage community associations in line with governing documents and contracts
• Foster strong relationships through proactive and clear communication with the Board of Directors, vendors, and team members
• Demonstrate financial acumen in budget preparation, financial review, and vendor payments
• Lead Board and committee meetings, both in-person and virtually
• Ensure regular site visits for inspection and project management
• Handle administrative tasks including Board packets and management reports
• Adhere to internal processes for accuracy and timeliness
• Perform additional duties as required

Community Association Manager

• Oversee the general operations of the condominium association, including staff and contracted service providers.
• Communicate regularly with the Board regarding community issues.
• Enforce the Association's Rules and Regulations as outlined in the governing documents.
• Prepare or oversee the preparation of notices and meeting packets for all Association and Board meetings in a timely manner.
• Attend monthly Board Meetings, Annual Meetings, and any Special Meetings as contracted.
• Prepare RFPs and secure proposals related to day-to-day operations; provide recommendations to the Board.
• Ensure the accuracy of records for each unit/lot.
• Assist in preparing the annual budget and updating reserve study projects.
• Approve all expenditures and seek Board approval for expenditures above the predetermined threshold.
• Respond to owner inquiries and requests promptly according to company standards.
• Manage the decision-making process effectively, working towards both short- and long-term objectives for the association.
• Handle after-hours emergency calls as needed.
• Serve as primary point of contact for service providers, board members, committee members, and corporate staff.

Manager

• Oversee day-to-day operations of construction projects, ensuring work progresses according to project plan, timeline, and budget
• Develop, maintain, and adjust project schedules; coordinate contractors, suppliers, and subcontractors
• Manage relationships with contractors and subcontractors; ensure quality standards and timely completion
• Serve as primary point of contact for homeowners; address questions, concerns, and provide updates
• Monitor and manage project budgets, track expenses, and identify potential cost overruns
• Proactively identify and mitigate risks to timelines, costs, or quality
• Ensure quality control and that work meets local regulations, codes, and safety standards
• Maintain comprehensive project documentation including contracts, permits, inspections, change orders, and progress reports
• Develop and distribute RFPs, hold bid meetings, and provide proposal summaries to Boards of Directors
• Attend monthly Board meetings (weeknight, virtual)

Property Manager

• Manage general accounting functions: AP, AR, general ledger, and taxes
• Assess and recommend process improvements for efficiency
• Review and analyze financial statements for accuracy
• Provide financial guidance to managers, board members, and owners
• Supervise general ledger accounting
• Develop and train staff while fostering strong relationships
• Collaborate with external auditors for year-end closing
• Generate monthly financial statements for association clients
• Assist with the preparation and reconciliation of payroll, payroll tax, and benefits
• Perform additional functions and participate in special projects as needed

• Administration - Financial Reporting & Budget Administration: Maintain meticulous records for each property in the portfolio. Prepare comprehensive Monthly Management Reports for the Board of Directors, including site inspection reports and budgetary details. Act as the primary liaison for the Board of Directors, enforcing all Association regulations and policies. Facilitate competitive bidding for all contracts as per the Board's decisions.
• Capital Improvements & Physical: Provide recommendations to the Board regarding property improvements and necessary repairs. Oversee budget implementation and authorize necessary expenditures. Monitor and maintain the physical elements of the properties, ensuring energy efficiency and compliance.
• Personnel: Supervise on-site staff, ensuring all responsibilities are met efficiently. Coordinate with higher management on personnel needs and training requirements.
• Property Maintenance: Negotiate contracts and maintain contract analysis for all associations. Conduct regular inspections of buildings and grounds, ensuring compliance with maintenance schedules. Monitor contractor activities, ensuring work quality and adherence to warranties. Oversee incident/accident reports, insurance claims, and potential litigation as per the Board's direction.
• Public Relations: Provide guidance and support to the Board of Directors in property operations. Serve as the main point of contact for owners, government bodies, and external stakeholders. Represent GHCM in various capacities and contribute to business development efforts.
