About the role
- Professional and organizational leadership responsibility for reception and cleaning staff
- Main point of contact for all facility management matters in the office building
- Organize, coordinate and commission maintenance and repair measures in cooperation with internal and external service providers
- Plan, implement and continuously manage employee benefits (e.g. lunch catering, coffee, sports) and initiate and organize events to promote company culture and employee motivation
- Coordinate and, if necessary, evaluate existing suppliers for facilities, benefits and wellbeing
- Work closely with HR and other internal stakeholders, particularly on workplace design and employee satisfaction
- Review incoming invoices related to facilities, benefits and events
- Travel management: plan, book and reconcile business trips (flights, trains, hotels, rental cars, etc.) in accordance with internal travel policies
- Seminar organization: plan and organize internal and external training sessions, seminars and workshops including participant management and logistics
- Appointment coordination: organize and schedule appointments, meetings and briefings including room planning and technical equipment
- Communication and correspondence: professional internal and external communication on behalf of the CFO; handle requests, emails and written correspondence
- Corporate card reconciliations: review, allocate and process corporate card expenses and support travel expense claims
- Document filing: maintain and manage digital and physical filing systems, ensuring structured and efficient document organization
- Time tracking system: manage and maintain the time tracking system, review recorded hours and support employees with inquiries
Requirements
- Completed commercial/business vocational training (e.g. in business administration) or equivalent
- Excellent MS Office skills
- Excellent German and English skills, both written and spoken
- Structured way of working with a high degree of independence and sense of responsibility
- Solution-oriented and proactive approach to work
- Strong organizational skills
- Excellent communication and collaboration skills
