About the role
- Heavy and complex calendar management with independent decision making based on priorities
- Act as a strategic partner, proactively solving business challenges and optimizing Executive’s productivity
- Manage high-level external meetings, speaking engagements, and conferences with briefs and insights
- Plan and organize extensive international and domestic travel arrangements
- Complete paperwork, business invitation letters, and visa applications for the Executive; provide expert visa process advice
- Plan and organize key internal and external meetings and events (domestic and international) managing time and budget
- Manage cross-functional and cross-segment meetings acting as point of contact, planner, organizer, and enabler
- Support the Executive Assistant Team with event management & work overflow
- Anticipate executive needs, prioritize, filter, and resolve issues with minimal escalation
- Proactively suggest process improvements, lead projects and own outcomes
- Process expense reports, purchase orders, wire transfers
- Perform other tasks and duties as assigned
Requirements
- 5+ years of experience in a global executive support role
- Associate's degree in related field required; Bachelor’s degree preferred
- Excellent organizational, follow-up and analytical skills
- Ability to function well under pressure with a high volume of demand
- Excellent verbal and written communication skills
- Proven ability to manage internal and external stakeholders, partnerships, and high-profile relationships
- Professionalism and Confidentiality – navigating the balance between transparency and discretion
- Ability to work independently and as part of a team, exercising discretion and independent judgment
- High attention to detail and problem-solving skills
- Advanced skills in Microsoft Office suite of programs
