About the role

  • Provide day-to-day administrative support for the VP of Grantmaking & External Affairs
  • Manage a complex and active calendar
  • Create and manage travel arrangements and itineraries
  • Support decision-making and trade-offs in how the VP spends their time
  • Act as the point of contact with staff and consultants on External Affairs matters
  • Coordinate the preparation of briefing materials and documents for events requiring the VP’s participation
  • Develop agendas and action items from departmental meetings
  • Create high-quality deliverables as assigned by the VP

Requirements

  • At least eight years in an administrative or executive assistant role for an organizational leader
  • Know what providing highly responsive and accurate support to an executive looks like and how to build and improve systems and practices
  • Proficient with technology, specifically Google Suite and Zoom
  • Excellent notetaking skills
  • Excellent verbal and written communication skills
  • Comfortable handling confidential information with discretion and tact
  • Ability to plan and prioritize against competing demands
  • Champion of organizational processes and policies
  • Customer service philosophy and approach
  • Ability to collaborate effectively across functions and levels
