About the role
- Coordinate cross-functional communications and assist with preparation for key calls, meetings, and presentations
- Track partner communications, internal tasks, and project timelines across multiple festivals and brand partners
- Organize and maintain digital files, meeting notes, outreach records, and partner materials
- Manage the schedules of designated C3 team member(s), including internal and external meetings, deadlines, and travel logistics
- Assist in the development of high-impact pitch decks, recap presentations, one-pagers, and client deliverables
- Draft compelling copy and visual layouts for marketing materials that resonate with brand partners in the music and festival space
- Source and curate imagery, statistics, and success stories from past events and brand activations
- Ensure consistency with C3’s visual identity and messaging standards across all materials
- Research prospective brand partners aligned with festival audience demographics and industry trends
- Coordinate and track outreach efforts, follow-up communications, and CRM inputs
- Support the preparation of customized partnership proposals and outreach materials
- Assist with special projects, such as partnership strategy development, market research, and cultural trend analysis
- Collaborate with internal teams including Creative, Production, Legal, and Sponsorship Operations to support partnership execution
- Help track KPIs and success metrics for brand activations across festivals
- Perform additional duties, projects, and event support as assigned
Requirements
- 2 – 4 years of experience in executive support, project coordination, or marketing roles; ideally in music, live event production environment, media, or brand marketing
- Strong project management skills with the ability to prioritize, organize, and manage multiple projects and deadlines simultaneously
- Proficiency in Google Workspace, Keynote, Microsoft Office (Word, Excel, PowerPoint, and Outlook), and Canva; experience with Adobe Creative Suite, a plus
- Familiarity with CRM systems such as Airtable, HubSpot, or Salesforce
- Design sensibility or creative background
- Excellent written, verbal, and presentation communication skills and an eye for visual storytelling
- Passion for live music, brand experiences, and ever-evolving festival landscape
- Proactive, positive, analytical, and collaborative mindset with strong attention to detail
- Comfort working in a fast-paced, high-pressure environment
- Strong interpersonal skills with the ability to build relationships internally and externally
- Demonstrated integrity, professionalism, and sound judgement in day-to-day operations and relationships
- Willingness and ability to travel and work non-traditional hours, including evenings and weekends
