About the role

  • Provide essential support to the Manufacturer Relations & Dealer Services department
  • Support the Manufacturer Relations & Dealer Services team on active projects and department initiatives
  • Facilitate and maintain new company formation documentation in coordination with outside counsel
  • Administer department email inboxes, review correspondence, and distribute internal/external communications
  • Assist with obtaining corporate officer signatures on manufacturer, regulatory, and transactional documents
  • Facilitate General Manager change and approval processes, including required documentation and updates
  • Track, monitor, and support dealer agreement renewals
  • Partner cross-functionally with internal teams on acquisitions and special projects
  • Support renewals, DBA filings, and other corporate maintenance items
  • Schedule meetings, prepare agendas, and capture meeting minutes
  • Maintain, audit, and ensure data accuracy across department systems
  • Provide backup administrative support and coverage as needed
  • Identify discrepancies, errors, and process gaps while proposing solutions and improvements
  • Communicate project updates, priorities, and issues proactively with leadership
  • Create and maintain department procedures, templates, and documentation
  • Scan, organize, file, and maintain corporate records according to department standards
  • Maintain accurate manufacturer and corporate information to support internal/external requests

Requirements

  • Minimum 3 years of experience in a business office environment
  • Strong attention to detail and accuracy
  • Sense of urgency and ability to meet important deadlines
  • Excellent written and verbal communication skills
  • Strong critical thinking and problem-solving ability
  • Active listening skills and professionalism in a collaborative environment
  • Strong time management and ability to prioritize workload independently
  • Proficiency in Microsoft Word, Excel, Outlook, and Adobe
  • Automotive industry experience preferred
