About the role
- Manage the daily running of the London office, including access control, maintenance, and building management relationships.
- Source and manage external suppliers (cleaning, catering, repairs, events suppliers) and proactively seek "upgrades" to the office environment.
- Run the daily "office engine”, ordering breakfast, managing plant care, and ensuring office supplies are always stocked.
- Own the seating plan and desk allocations, ensuring the layout evolves seamlessly as our team grows.
- Lead the in-office onboarding experience, including office tours, access setup, and ensuring every new hire’s desk is "day-one ready."
- Manage the physical logistics of offboarding, ensuring equipment is returned and access is revoked smoothly.
- Triage and resolve all team queries related to the workspace, acting as a buffer for the Founders and BizOps teams.
- Lead the administration and "on-the-day" delivery for team events, ranging from casual weekly socials to major milestones like the Christmas party.
- Partner with the People team to ensure the office vibe reflects our values and keeps morale high.
- Own team travel logistics, with a specific focus on US cohort trips and group travel coordination.
- Partner with the Head of IT to manage local equipment logistics—handling laptop setups, returns, replacements, and basic troubleshooting.
- Take over distributed admin tasks (vouchers, scheduling, general ordering) to centralize and professionalize our operations.
- Create clear, repeatable, and documented workplace processes. You aren't just doing the job; you're building the "Office Playbook" that we can scale to future global locations.
