About the role

  • Work collaboratively with the other members of the Tender Support Team to deliver a proactive high-quality service.
  • Build strong relationships with internal stakeholders and develop a deep understanding of organisational capabilities and FNC markets.
  • Work with other functions to maintain up-to-date standard responses.
  • Contribute to continuous improvement initiatives within the Tender Support Team.
  • Carry out ad hoc tasks under direction of the Bids and Tenders Lead for tender support and continuous improvement/ development of Strategic Pursuits services.
  • Act as an ambassador for our brand and policy document quality
  • Support the Win Work process by enabling efficient, compliant, and coordinated bid submissions.
  • Leverage the market tracking and intelligence system to identify opportunities by managing keyword searches and sector-specific terms agreed with business areas, ensuring all relevant opportunities are captured.
  • Download and distribute tender documentation to bid teams and stakeholders.
  • Work closely with Business Development and Sales teams to filter opportunities and support bid qualification.
  • Engage with and support the relevant lead from the Sales and Business Development, Capability, and/or Delivery communities.
  • Respond to and update Standard Selection Questionnaire (SSQ) and Pre-Qualification Questionnaire (PQQ) responses
  • Submit clarification questions and distribute responses.
  • Draft standard responses where appropriate.
  • Maintain standard company information for use in submissions
  • Maintain version control of proposals you are working on.
  • Review tenders and bid documentation to ensure they are correctly formatted, compelling, comply with submission requirements, are coherent, and consistent.
  • Log opportunities and track bid status through internal processes and report outcomes to stakeholders – ensuring that all bid outcomes – feedback and scores are reported to the intel team for assessment.
  • Assist colleagues with bid governance, bid qualification, and best practice
  • Follow internal bidding protocols and processes.
  • Monitor and manage inboxes and systems to ensure opportunities are distributed promptly and appropriately.
  • Interface with framework management systems to support the exploitation of valid opportunities.
  • Manage assigned frameworks and portals in line with client-specific requirements.
  • Maintain the frameworks/portals register to ensure accuracy and visibility.
  • When required, liaise professionally with client contacts and act as a trusted point of contact for portal and framework queries.

Requirements

  • Excellent interpersonal, written and verbal communication skills
  • Exceptional attention to detail with a strong focus on compliance and accuracy in bid submissions.
  • Ability to prioritise and manage multiple tasks in a fast-paced environment, delivering high-quality work to tight deadlines.
  • Customer-focused mindset with a passion for enabling successful bids and supporting business growth.
  • Self-motivating and proactive, with the ability to work independently or as part of a group
  • Comfortable using digital systems and willing to learn e-Procurement portals and framework management tools.
  • Confident in offering new ideas and demonstrating creativity
  • Strong IT skills – including proficiency in Excel, Word, PowerPoint, SharePoint
  • Excellent organisational and coordination skills for managing frameworks, tracking opportunities, and maintaining accurate records.
  • Understanding of bidding processes, governance, and compliance requirements.
  • Excellent proof-reading skills with commitment to maintaining document quality and brand standards.

  • Appropriate experience in a similar role, or with demonstrable transferable skills.
