About the role

  • Manage the requisition-to-PO flow by assisting stakeholders in raising requisitions and following up until the PO is sent to the vendor (Zip) and contract documentation is fully executed (Ironclad).
  • Manage the purchase order process from start to finish (P2P).
  • Support internal stakeholders with initial vendor requests and assist the supply base with onboarding in Zip.
  • Provide procurement support and training for stakeholders as needed.
  • Build strong working relationships with key stakeholders to ensure requirements are clear and requisition-to-PO process is followed.
  • Participate in vendor pricing and commercial negotiations (payment terms, discounts).
  • Adhere to the company’s procurement policies and procedures.
  • Liaise with the Legal team, conducting the first review of agreements and highlighting escalations.
  • Review requisitions for completeness, accurate goods/services descriptions, and alignment with agreed pricing.
  • Ensure requisitions are issued per Intercom’s requirements and process approvals in a timely manner.
  • Collaborate with the AP team to ensure timely invoice payments.
  • Liaise with the systems admin team to resolve day-to-day system challenges.
  • Assist the Sr. Procurement Administrator with monthly reporting and KPIs.
  • Perform daily procurement activities, including tactical and operational tasks as required.
  • Report to the Head of Procurement and contribute to development and implementation of procurement processes.

Requirements

  • Minimum of 2 years of relevant procurement experience
  • Proven expertise in P2P systems, preferably Zip
  • Excellent written and verbal communication skills
  • Detail-oriented, curious, analytical, and able to think outside the box
  • Highly effective collaboration both internally and externally
  • Experience working with internal and external stakeholders
  • Capable of handling urgent and changing tasks and bringing them to timely resolution
  • Experience with vendor onboarding and vendor management
  • Ability to conduct initial contract review and escalate to Legal
  • Proof of eligibility to work in the United States required
  • Bonus: Experience with Ironclad and contract review
