Manage the requisition-to-PO flow by assisting stakeholders in raising requisitions and following up until the PO is sent to the vendor (Zip) and contract documentation is fully executed (Ironclad).
Manage the purchase order process from start to finish (P2P).
Support internal stakeholders with initial vendor requests and assist the supply base with onboarding in Zip.
Provide procurement support and training for stakeholders as needed.
Build strong working relationships with key stakeholders to ensure requirements are clear and requisition-to-PO process is followed.
Participate in vendor pricing and commercial negotiations (payment terms, discounts).
Adhere to the company’s procurement policies and procedures.
Liaise with the Legal team, conducting the first review of agreements and highlighting escalations.
Review requisitions for completeness, accurate goods/services descriptions, and alignment with agreed pricing.
Ensure requisitions are issued per Intercom’s requirements and process approvals in a timely manner.
Collaborate with the AP team to ensure timely invoice payments.
Liaise with the systems admin team to resolve day-to-day system challenges.
Assist the Sr. Procurement Administrator with monthly reporting and KPIs.
Perform daily procurement activities, including tactical and operational tasks as required.
Report to the Head of Procurement and contribute to development and implementation of procurement processes.
Requirements
Minimum of 2 years of relevant procurement experience
Proven expertise in P2P systems, preferably Zip
Excellent written and verbal communication skills
Detail-oriented, curious, analytical, and able to think outside the box
Highly effective collaboration both internally and externally
Experience working with internal and external stakeholders
Capable of handling urgent and changing tasks and bringing them to timely resolution
Experience with vendor onboarding and vendor management
Ability to conduct initial contract review and escalate to Legal
Proof of eligibility to work in the United States required
