About the role
- Provide support across administration, advisory, governance and non‑operational resourcing activities for the directorate.
- Manage and improve internal administrative processes, including Headcount Controls.
- Own and enhance systems to ensure effective workflow and compliance with management system rules.
- Coordinate with business partners and specialist teams (including HR, Finance, SHE, Legal and Communications).
- Support stakeholder engagement on matters impacting operational and strategic decisions.
- Contribute to Business Continuity Planning.
- Lead internal communications planning and delivery (in partnership with Support Services).
- Maintain accurate records, documents and information for the directorate.
- Support internal SHE responsibilities, including safety tours, PGIs and compliance activities.
- Assist with governance processes, including preparation of submissions for Boards, Panels and Committees.
- Support procurement and low‑value purchasing processes (raising POs, liaising with vendors, etc.)
- Provide support to ad hoc projects and continuous improvement initiatives.
Requirements
- Experience of engaging with internal and external stakeholders
- Experience of working within a large and complex organisation with political considerations
- Experience of supporting directorates or offices with administrative resourcing
- Experience of engaging in external queries/correspondence
- Good written and verbal communication skills
- Ability to build effective working relationships with colleagues across the organisation at all levels
- Flexible in providing support in varying activities across the office environment
- Good influencing skills when engaging with internal and external stakeholders of varying complexity
- Good knowledge of TfL management/administrative systems
- Knowledge of Microsoft Office applications
- Awareness of key contacts internal and external to the respective office/directorate
- Good knowledge of TfL’s policies and processes (including resourcing)
- Awareness of internal & external communication methods
- Awareness of TfL’s political relationships with key internal & external stakeholders
- Knowledge of how to support strategic business management and planning practices
