Manager

• Assist the Property Manager in supervising on-site staff.
• Work with the Property Manager to resolve property management issues.
• Work closely with and supervise vendors to ensure compliance with service contracts.
• Recommend vendor contracts as appropriate.
• Assist the Property Manager with the preparation of operating and capital budgets, as well as operating expense reconciliations.
• Assemble, review, and assist the Property Manager in implementing approved operating and capital budgets.
• Conduct routine property inspections to prevent or identify problems and exposures.
• Ensure adherence to owners policies and procedures, as well as compliance with codes, regulations, and governmental directives.
• Assure optimal functioning of building life safety and security systems.
• Review and ensure the accuracy of accounts payable.
• Receive work order requests and coordinate with maintenance technicians or vendors as appropriate.
• Schedule building activities, including move-ins and move-outs, and verify insurance.
• Collaborate with the Property Manager to maintain personal contact with corporate staff.
• Assist the Property Manager in preparing monthly reports as needed.
• Work with the Property Manager to facilitate property management, accounting, marketing, and construction needs.
• Post all resident and rent payments.
• Complete move-in, move-out, and all software-related duties.
• Perform other duties, responsibilities, and special projects as assigned.

Floating Assistant Property Manager

• Oversee all aspects of property management, including maintenance, construction/renovation, budget planning, expense review and control, collections, and tenant relations for assigned properties.
• Conduct research, surveys, data collection, interior and exterior inspections, and budget analysis.
• Support financial objectives by collecting rent, forecasting requirements, scheduling expenditures, analyzing variances, and initiating corrective action.
• Perform weekly, monthly, and quarterly QA inspections.
• Maintain building systems and supervise all repairs.
• Manage day-to-day operations of multiple units, including 24/7 emergency response.
• Assist the Leasing Representative.

Property Manager

• Oversee all aspects of property management including maintenance, budget planning, and tenant relations.
• Conduct research, data collection, and budget analysis.
• Collect rent and analyze variances to support financial objectives.
• Assist in maintaining high occupancy and communicate effectively with tenants.

Controller

• Prepare timely and accurate monthly financial statements, reports, and forecasts
• Prepare annual financial plans and updates
• Prepare monthly forecast and updates
• Coordinate and review budgets and conduct monthly job revision budgets with management
• Manage cash flows to ensure adequate cash at all times and prepare distributions
• Manage bank loans including coordination with lenders, draw request, interest calculation, and accrual and reporting
• Evaluate new opportunities and provide input into purchase and sale agreements, operating agreements, and management agreements
• Oversee the processing of invoices to ensure the accurate and timely payment of all vendors and subcontractors in accordance with contracts and budgets, and ensure that real property is protected from mechanic liens

• Comply with local, state, and federal government reporting requirements and tax filings

Corporate Controller

Consultant

• Maintain detailed knowledge of the apartment community and its amenities
• Provide a daily inspection of show apartments and model appearance
• Handle all aspects of leasing apartments, including greeting prospective residents, touring the community, closing the sale, processing applications in a timely manner, typing leases, following up with prospects, and obtaining signatures for completion of leases and paperwork prior to move-in
• Consistently document prospect phone and email contacts; accurately complete the market survey
• Maintain an acceptable closing ratio
• Collect and secure rental payments
• Produce reports in a timely, accurate, and complete manner, including the monthly market survey, locator log, and commission sheets
• Assist in marketing; monitor the accuracy of advertisements and take appropriate action to correct them; accurately and consistently document traffic marketing sources; assist in leasing events and promotions; and assist in weekly outreach community marketing
• Post to approved advertising sources daily as directed
• Maintain organized community office files
• Maintain working knowledge of Fair Housing laws, rules, and regulations concerning apartment leasing and management
• Assist in the inspection of vacant apartments and take appropriate action to prepare them for leasing
• Promote resident retention by assisting with the renewal program
• Report any observed maintenance problems
• Adhere to and comply with company safety policies and rules, and utilize safety appliances as required
• Be consistently courteous and helpful to residents, prospective residents, and co-workers
• Be available for overtime, weekend, holiday, and evening work with supervisors approval
