Events

• Keep a complex, multi-event season running on time and on budget
• Own day-to-day maintenance of the season event budget — record actuals, track variances, and flag when something is trending off-plan across any of the 6 events
• Manage vendor onboarding and payment processing in Ramp, including setting up new vendors, submitting payments for approval, and ensuring invoices are coded correctly
• Monitor staged vendor payment schedules (deposits, milestone triggers, final payments) and proactively alert the team when action is needed
• Actively surface emerging risks — budget overages, vendor delays, missing deliverables, or timeline slippage — before they escalate
• Serve as a clear, reliable communication hub between the team and external vendors: coordinate timelines, follow up on deliverables, and hold vendors accountable without requiring the Director to step in on every thread
• Prepare concise budget summaries and status updates for leadership, translating complex budget data into clear, actionable snapshots
• Maintain visibility on all open items across the season so the team always has a current picture of where each event stands
• Triage the task queue in Asana — identify what's urgent, what's blocked, and what needs escalation
• Build and maintain event timelines, pre-production checklists, and run-of-show documents
• Track vendor contracts and ensure payment and deliverable milestones are met on schedule

Events and Production Coordinator

Executive Assistant

• Manage the CEO’s calendar and coordinate meetings across multiple time zones
• Schedule investor / VC calls and help keep meeting logistics organized
• Monitor shared inboxes and flag urgent requests
• Respond to simple emails or route messages to the right person
• Track bills, expenses, and invoices to make sure nothing gets missed
• Help keep documents, spreadsheets, and records organized
• Follow up with vendors, partners, or team members when needed
• Jump in on general admin / ops tasks as they come up

Executive Assistant – Part-time

Accounts Payable

• Process 1,000–1,200+ invoices per month with high accuracy
• Perform 3-way matching (when applicable) and proper GL coding
• Manage invoice batching, approvals, and timely entry into the AP system
• Ensure adherence to internal approval workflows and policies
• Minimize invoice send-backs by proactively resolving discrepancies
• Support weekly payment runs (ACH, checks) and ad hoc payments
• Assist with payment batch preparation and execution
• Coordinate with internal stakeholders on urgent or escalated payments
• Reconcile vendor statements and resolve outstanding items
• Support month-end close activities, including accruals and reporting
• Ensure all AP transactions are recorded accurately and timely
• Follow internal controls and approval matrices (based on GL coding, not vendor-based)

Accounts Payable Specialist – Non-inventory

Supply Chain

• Own inventory planning, forecasting, and replenishment for short shelf-life products
• Build and maintain production schedules and demand forecasts
• Track inventory levels, rate of sale, yields, expirations, and risk flags
• Identify operational risks early (stock-outs, excess inventory, aging product)
• Own and manage Airtable as the core operations system
• Maintain clean, accurate, and structured operational data
• Build dashboards, trackers, and workflows using Airtable and Excel
• Present data clearly and visually to summarize issues and proposed solutions
• Manage operational communication with U.S. customers, distributors, and partners
• Handle emails, follow-ups, timelines, and coordination with a high level of professionalism

Inventory Manager, Planner – Perishables

Administration

• Administer and optimize Salesforce and HubSpot systems
• Build and refactor Salesforce Flows, permissions, validation rules, and Lightning pages
• Manage HubSpot workflows and automations (80+ active workflows)
• Maintain data integrity across accounts, contacts, leads, and custom objects
• Troubleshoot system issues and implement hot fixes
• Perform data uploads, cleansing, and bulk data manipulation (Excel proficiency preferred)
• Ensure accurate data sync between HubSpot and Salesforce
• Support reporting needs for Sales, Marketing, and RevOps

Revenue Operations

• Maintain data integrity through accurate data entry, cleansing, and enrichment.
• Support process improvement and automation initiatives within the Revenue Operations team.
• Learn and manage key systems including Salesforce, DealHub, and other revenue tech stack tools
• Act as a point of contact for other departments on RevOps technology and processes.
• Develop and maintain internal knowledge articles and enablement materials.
