About the role
- Support a team of attorneys and IP Operations professionals; collaborate with paralegals within the Legal Department’s Intellectual Property Group.
- Act as a Paralegal Case Manager for a portfolio of IP cases, interacting with Outside Counsel and managing Outside Counsel activities.
- Daily maintenance, monitoring, docketing, analysis, and reconciliation of Patent bibliographic information, due dates, and cost information in Anaqua and Legal Tracker.
- Track and record correspondence and technical/strategic information from attorneys and business leaders across multiple communication tools.
- Manage annuity reviews and payments for Patent and Design matters; monitor process compliance, understand country rules related to annuities, and implement process improvements.
- Track and report financial savings; prepare reports and presentations using Excel and PowerPoint.
- Prepare, generate, and distribute various global reports for attorneys and business/financial contacts.
- Manage monthly annuity invoices: review, compare, approve for payment, and report costs.
- Manage requests/inquiries from Anaqua’s annuity service regarding data discrepancies; perform Patent bibliographic research and update Anaqua.
- Provide support to in-house IP team members: back-up paralegal duties, create matters in Legal Tracker and Anaqua, support operational activities and technology improvements, assist Manager, IP Operations, and perform general administrative duties as needed.
Requirements
- At least 6 years’ experience in a corporate Legal Department or Law Firm, required.
- At least 5 years’ experience working in Patent and Design prosecution required, including deep knowledge of Patent and Design-related data and due dates for both US and foreign prosecution matters.
- Experience working within an I.P. Management Database/docketing system manipulating data or docketing; experience reviewing and auditing data for errors.
- High preference given to candidates with experience managing I.P. annuities/renewals.
- Experience with Trademark prosecution a plus.
- Ability to work comfortably in databases and other software tools required.
- Proficiency in the use of Microsoft Office programs required, especially MS Excel and MS PowerPoint.
- Experience using MS Teams, MS Copilot, and MS Project a plus.
- Experience managing multiple projects simultaneously in a fast-paced environment and ability to prioritize projects and workload independently.
- Ability to work well under pressure, adjust quickly to changing targets, detail-oriented, excellent organizational skills.
- Excellent oral and written communication skills and good interpersonal and relationship building skills.
- Ability to work independently as well as closely with team members; take direction and initiative; provide feedback when necessary.
- A command of Legal and IP terminology required.
- Some college preferred.
