• **Experience in Sales Support:** EA with a background in sales support or customer relationship management. To understand the sales process and be able to assist in managing leads and follow-ups.
• **Scheduling & Calendar Management:** Organize and schedule meetings and keep the executive informed of upcoming appointments.
• **Tech Savvy:** Familiarity with various software tools, including CRM systems (like **Zoho**), project management tools (like Microsoft Planner), and communication platforms (like email and video conferencing tools), is essential. The EA should also be comfortable using **Notion** for documentation and SOPs.
• **Email & Communication Management:** Oversee inbox triage, draft and review emails, and maintain a system for prioritizing key messages.
• **Adaptability: **The EA should be flexible and willing to adapt to changing priorities and tasks. They should be comfortable working in a dynamic environment and adjusting their approach as needed.

• **Administrative Support:** Assist with document organization, mail management, and basic reporting.

Executive Operations Assistant – LATAM

• Schedule and confirm interviews with candidates and internal stakeholders, providing necessary materials in advance.
• Assist with the onboarding process for new hires, including document collection, orientation scheduling, and training coordination.
• Manage employee inquiries, maintain open communication lines, and support team members with HR-related questions.
• Facilitate the maintenance of employee records and ensure all HR documentation is organized and up-to-date.
• Support the HR team with administrative tasks, including filing, data entry, and preparing reports.
• Knowledge of existing Standard Operating Procedures (SOPs) related to user management and administrative tasks, as well as the ability to identify areas where SOPs are lacking.
• Familiarity with tools such as Zapier for automation, as well as experience with platforms like HubSpot and Google Drive for data management and collaboration.
• Ensure that all sensitive information is handled with the utmost confidentiality and professionalism.
