About the role

  • Create, protect and maintain HR employee data with accuracy and integrity in various systems, including the HRIS & ERP systems, as well as employee files (soft copies)
  • Provide support by gathering information and documents from employees (payroll forms, insurance enrolment, etc.), and updating employee files accordingly
  • Ensure proper documentation is always available in employee files to align with various audit requests
  • Prepare offer letters, contracts, agreements and various other letters such as employment confirmations, proactively tracking expiration dates and driving timely renewals in collaboration with HR Partners
  • Plan and conduct onboarding sessions for new hires
  • Communicate regularly with HRBPs, providing information on the progress of tasks and projects
  • Draft, review, translate and ensure the proper branding guidelines, layout and presentation of various documents such as policies, communications and offer letters
  • Conduct ongoing research and create clear documentation to support HR practices and compliance across all jurisdictions where Equisoft operates.
  • Identify opportunities for process automation and AI-enabled solutions in HR operations, demonstrating curiosity about emerging technologies and proactively proposing innovative approaches to improve efficiency and employee experience
  • Actively participate in various committees to promote employee engagement and retention, and help organize social events
  • Coordinate various ongoing activities and programs
  • Generate and distribute HR reports including headcount analytics, turnover metrics, absence tracking, and compensation data
  • Respond to employee inquiries regarding HR policies, programs, benefits, and system access
  • Provide support for various HR projects, as needed
  • Serve as first-level support for Workday-related inquiries

Requirements

  • Degree or certificate in Human Resources Management, business, or a related field
  • 3+ years of experience in an administrative role in a Human Resources Department
  • Experience with Workday, ideally as HR Administrator (required)
  • Effective in planning and organizing tasks and strong ability to meet deadlines
  • Excellent working knowledge with Microsoft Tools (mainly Word, Forms, Excel and PowerPoint), PDF (form configuration), and ease of learning new technologies and systems
  • Strong interpersonal skills and excellent written and verbal communication in both English and French
  • Ability to anticipate problems and develop innovative solutions to prevent delays
  • Ability to create and maintain comprehensive process documentation
  • Team player, integrity, discretion, diplomacy and tact
  • Ability to maintain high productivity in a fast-paced environment with strong attention to detail
  • Strong customer service skills, including the ability to remain flexible and easily adapt to change
  • Knowledge of Spanish is a strong asset.
