About the role
- Run the weekly Delivery business rhythm (forecast reviews, staffing standups, at‑risk project reviews, backlog health).
- Maintain a rolling 13‑week delivery and revenue forecast; track variance to plan and drive corrective actions.
- Build and maintain dashboards for utilization, margin, delivery status, and capacity.
- Establish & monitor project P&L (budget vs. actuals, gross margin, burn rate, change orders, billing milestones).
- Partner with Finance on revenue recognition readiness (T&M vs. fixed fee), WIP, backlog, and DSO impacts.
- Ensure accurate and timely time entry, expense submission, and milestone completion for invoicing.
- Own supply/demand planning, role forecasting, and staffing requests across projects and pre‑sales.
- Track utilization (billable, productive, and bench) and recommend hiring or contractor backfills.
- Maintain skills inventory and help route the right resources to the right work.
- Setup initial PSA system and ensure data accuracy and process compliance in PSA and CRM.
- Define and enforce a services data dictionary (project stages, fields, picklists, SLAs); build automation and QA checks.
- Translate SOWs into deliverable work plans with budgets, schedules, and resourcing assumptions.
- Partner with Sales Ops to ensure opportunity handoff completeness and clean project creation; align with Finance on billing cadence and margin targets.
- Create and maintain process documentation, standardize SOW templates, project plans, and reporting packs; train PMs/consultants on operational best practices.
- Analyze trends to reduce delivery risk and improve throughput; lead pilots for new tools or process changes and scale successes.
Requirements
- 4+ years in Delivery Operations, PS Operations, Consulting Operations, or Revenue/Services Ops at a SaaS, PaaS, or services org.
- Proficiency with Salesforce and PSAs; comfort administering objects, reports, and workflows.
- Strong analytical skills; expert in spreadsheets; familiarity with BI tools (e.g., Looker, Tableau) and basic SQL a plus.
- Understanding of project accounting (fixed fee vs. T&M, margin, WIP, backlog, DSO, rev-rec readiness).
- Process design and change management skills; able to turn ambiguity into standard operating procedures.
- Excellent communication and stakeholder management; comfortable influencing without authority.
- High attention to detail, ownership mindset, and bias for action.
- Ability to be within commuting distance of San Francisco office and work in-office 3 days per week.
- Nice to have: Experience launching or restructuring PSA processes during high growth; prior hands-on PM/consulting experience on enterprise projects; familiarity with AI/ML or data platform implementations; experience with FinancialForce/Certinia PSA; familiarity with Google Workspace, Jira/Asana, Confluence/Notion.
