Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group.
Completes work with a limited degree of supervision.
Coordinate and maintain preventive and predictive maintenance schedules to minimize equipment downtime.
Support work order planning, aligning labor, parts, and equipment resources to meet operational priorities.
Compile, verify, and input data into spreadsheets, reports, and internal databases with high attention to detail.
Generate maintenance and performance reports, track key metrics (e.g., PM compliance, backlog), and support continuous improvement efforts.
Provide administrative support including scheduling meetings, arranging conference calls, and responding to internal and external inquiries.
Prepare vendor documentation, submit payment requests, and respond to accounts payable questions.
Maintain departmental procedures and documentation to support consistent operations.
Participate in cross-functional team projects focused on business process improvement.
Requirements
Proven administrative or coordination experience (typically 3+ years), preferably in a maintenance or technical environment.
Strong organizational and time management skills with the ability to prioritize multiple tasks.
Proficient with Microsoft Office (Word, Excel, Outlook) and other business systems or databases.
Solid understanding of preventive maintenance processes and familiarity with work order management.
Ability to communicate clearly, work cross-functionally, and manage sensitive data with discretion.
Critical thinking skills and the ability to analyze data, identify issues, and support decision-making.
High school diploma or equivalent required; additional training or education in business or technical fields is a plus.
