About the role
- Support full-cycle recruitment activities under the direction of the Recruitment Specialist and Director, People & Culture.
- Post job openings across multiple platforms and ensure postings are accurate, current, and aligned with job profiles.
- Assist with proactive sourcing through job boards, resumes databases, referrals, and pipelines.
- Conduct initial resume screening and pre-screening calls as assigned.
- Coordinate interview scheduling between candidates, hiring managers, and Recruitment Specialist.
- Maintain timely and professional communication with candidates throughout the recruitment process.
- Update and manage candidate records, notes, and workflows in Workable with accuracy and confidentiality.
- Support recruitment campaigns, referral initiatives, and hard-to-fill role outreach.
- Assist with preparation of offer letters and offer packages, following established guidelines.
- Support job fairs, recruitment events, and community outreach initiatives as required.
- Coordinate onboarding logistics for new hires in partnership with the Recruitment Specialist and HR team.
- Facilitate pre-employment requirements including background checks, employment eligibility documentation, and onboarding forms.
- Prepare new hire documentation, onboarding checklists, and welcome materials.
- Schedule orientations, first-day logistics, and system access in collaboration with IT and hiring managers.
- Serve as a friendly first point of contact for new hires, answering general onboarding-related questions.
- Track onboarding completion and follow up on outstanding requirements.
- Support monthly recruitment and onboarding reporting.
- Ensure recruitment files and employee records are complete, accurate, and confidential.
- Maintain templates, guides, and recruitment-related documentation.
- Provide administrative support on People & Culture projects as assigned.
Requirements
- Post-secondary education in Human Resources, Business Administration, or a related field (or equivalent experience).
- 1–3 years of experience in recruitment coordination, HR administration, or a related role.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and ability to handle confidential information professionally.
- Proficiency with ATS platforms (Workable or similar) and MS Office / Google Workspace tools.
- Experience supporting recruitment in multi-location or operational environments.
- Exposure to high-volume or skilled trades recruitment.
- Interest in developing a long-term career in Talent Acquisition or Human Resources.
