About the role

  • Oversee daily office operations including supplies, facilities, and basic IT coordination.
  • Handle office-related invoices such as rent, utilities, insurance, benefits, legal, and vendor payments.
  • Provide administrative and scheduling support to the India Director, including calendar management, travel coordination, expense reporting, and documentation.
  • Maintain and update the vendor/supplier database, office subscriptions, and contact lists.
  • Assist in planning and coordinating meetings, workshops, offsites, and team events.
  • Lead month-end close activities including timesheet completion and expense submissions.
  • Manage team-wide system reminders and support staff with CPI tools systems.
  • Coordinate tool account creation and email ID setup for new hires.
  • Draft contracts and addendums in alignment with CPI policies.
  • Coordinate travel arrangements for staff and guests, including visa letters.

Requirements

  • Strong alignment with CPI’s mission and values.
  • Excellent written and verbal communication skills in English.
  • High attention to detail and strong organizational ability.
  • Proficiency in Microsoft Office Suite.
  • Multi-tasking skills and collaborative, proactive approach.
  • Self-motivated and resourceful with the ability to work independently.
  • Minimum 3-5 years of experience in non-profit operations, administration, consulting, or professional services.
  • Familiarity with financial or operational tools systems (e.g., NetSuite, SharePoint).
  • Project management skills.
  • Experience working in matrixed or international organizations.
