About the role

  • Primarily provide support to the CEO and as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
  • Serve as a key liaison to internal and external stakeholders, ensuring a professional and responsive experience.
  • Exhibits professional decorum, excellent written and verbal communication skills, and the ability to articulate messages clearly and concisely in a way that reflects positively on the CEO's office.
  • Exercises sound judgment in handling confidential and sensitive information with the utmost discretion.
  • Manages the CEO’s calendars, schedules meetings (both virtual and in-person), and coordinates travel arrangements with meticulous attention to detail for both personal and professional meetings.
  • Manages meeting and event planning, including monthly companywide meetings, executive events, taking meeting minutes, etc.
  • Welcomes and assists guests in the office.
  • Anticipates needs and proactively prepares materials for meetings, presentations, and speaking engagements.
  • Earns and maintains the CEO’s confidence through consistent reliability, sound judgment, and a professional demeanor.
  • Takes initiative to anticipate needs and proactively address potential issues before they arise.
  • Assists in drafting and managing internal and external communications on behalf of the CEO to keep the team informed, aligned, and inspired.
  • Manages expense reports, invoices, and other financial documentation accurately and efficiently.
  • Oversees office supplies and equipment and serves as the key point of contact for the office building management to ensure the office is always well-equipped and functional.
  • Serves as the point of contact for the office Screens and directs phone calls and distributes correspondence.
  • Performs other duties within the scope of the role.

Requirements

  • 5 -7+ years' experience in a high level administrative role reporting directly to upper management or executives.
  • Superb written and verbal communication skills.
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once.
  • Driven by the team's success and have a low ego and a high sense of ownership.
  • Communicate with precision, clarity, and tact and are an exceptional listener.
  • You actively look to build relationships across teams as an extension of the CEO.
  • Ability to demonstrate absolute integrity and maintain strict confidentiality and professionalism regarding all business matters, strategic initiatives, and personal information.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
  • Exhibits good judgment and problem-solving skills.
