About the role

  • Provide high-level administrative support to the CEO, and executive team as needed, including calendar management, travel coordination, and meeting preparation.
  • Serve as a key point of contact between executives and internal/external stakeholders.
  • Organize and prioritize competing demands, ensuring the CEO’s time is optimized.
  • Prepare, review, and manage presentations, reports, and documents.
  • Take meeting minutes and track follow-ups to ensure accountability and progress on key initiatives.
  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and welcoming environment.
  • Manage office supplies, shipping, equipment, and vendor relationships.
  • Coordinate meetings, team events, and celebrations to foster company culture and engagement.
  • Partner with the Chief of Staff and VP of People to plan and execute culture-building initiatives, team experiences, and engagement activities.
  • Assist with onboarding new employees by setting up workstations, procuring access tools, and creating a seamless first-day experience.
  • Ensure compliance with office policies and procedures.
  • Track and manage budgets for office expenses.
  • Organize and maintain company documents, records, and databases.
  • Assist with special projects, including research, reporting, and event planning.
  • Assist with company-wide communications and events as needed.

Requirements

  • 1–3 years as an Executive Assistant, Office Manager, or similar role in a fast-paced startup or tech environment.
  • Must have a clear professional presence in order to communicate effectively with investors, shareholders, and other high-value contacts.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Tech-savvy, with proficiency in tools like Google Workspace, Microsoft Office, and Slack. Project management software like Notion and Asana is a plus.
  • Ability to work independently, anticipate needs, and solve problems proactively (i.e., action-oriented).
  • High attention to detail.
  • Experience in event and travel coordination is a plus.
  • Positive attitude with a passion for creating an efficient, people-centered workplace and strong team culture.
