Administrative Assistant

• Support the planning and execution of conferences, meetings, and events from initial request through completion, ensuring all logistical details are managed efficiently and accurately.
• Oversee and supervise the delivery of events by coordinating schedules, assigning tasks, and guiding staff and volunteers to ensure high-quality execution and guest satisfaction.
• Prepare final invoices, guest check-outs, post-event surveys, and ensure accurate documentation by maintaining and updating the Master File.
• Manage day-to-day facility operations, ensuring lodging accommodations, meeting rooms, and common areas are clean, functional, and guest-ready at all times.
• Assist in monitoring the Center’s general budget, including expense tracking, vendor contracts, and resource allocation to ensure cost-effective operations.
• Provide support in processing payables, recording deposits, and maintaining accurate financial records in coordination with the Finance Department.
• Oversee and maintain office technology systems including surveillance cameras, telecommunications, IT equipment, and printers, ensuring consistent functionality and timely troubleshooting.
• Manage procurement processes and inventory of office supplies, including stationery, furniture, appliances, and electronics. Ensure cost-effective purchasing and timely delivery to support operational efficiency.
• Develop, implement, and maintain standard operating procedures for both event coordination and daily office operations, ensuring consistency, compliance, and service excellence.
• Coordinate internal communications, staff meetings, employee recognition, celebrations, and training initiatives. Foster a positive work culture by supporting staff development and promoting teamwork and employee engagement through incentive programs and continuous improvement strategies.

• Functions as Case Manager to the Tribunal and provides support services to the Tribunal under the direction of the Director
• Solicits and documents statements from Petitioners, Respondents, Principals, Procurator-Advocates, witnesses and other dioceses in regard to nullity cases
• Reviews data from nullity cases and prenuptial papers to solicit more information as needed
• Creates documents, from dictation and hand-written drafts, for nullity cases, and other projects
• Creates/maintains database for each nullity case
• Interacts with clergy and lay ministers in this and other dioceses in the processing of nullity cases
• Creates and revises forms in English, Spanish and Vietnamese with the help of translators as required
• In the role of Notary, certifies the authenticity of judicial acts and the accuracy of interrogations and authenticates documents from Petitioners and Respondents, Procurator-Advocates, witnesses and other dioceses
• Performs administrative duties to support work of Tribunal

Case Manager, Non-exempt – Contractor

• Functions as Ecclesiastical Notary to the Tribunal and provides support services to the Tribunal
• Reviews data from nullity papers to solicit more information as needed.
• Creates documents, from dictation and hand-written drafts, for documentary nullity cases
• Interacts with clergy and lay ministers in this and other dioceses in the processing of documentary case paperwork.
• Creates and revises forms in English, Spanish, and Vietnamese with the help of translators as required.
• In the role of Notary, certifies the authenticity of judicial acts and the accuracy of interrogations.
• Performs administrative duties to support the work of the Tribunal such as processing incoming and outgoing mail.
• Maintaining supplies and determining when to order, placing orders, approving orders for payment and giving invoices to the Director.
• Supporting the Director with the budget process such as typing the budget for annual presentation.
• Takes and transcribes minutes.
• Sending to and retrieving from offsite case storage (Tribunal Archives) and maintaining all associated records.
• Developing an understanding of the technical aspects of the Tribunal’s database(s).
