About the role
- Provide project and program support to the Program Management Office (PMO)
- Oversee PMO meetings, emails, and visitor interactions and determine delegation
- Manage, synchronize, and resolve conflicts within PMO calendars
- Schedule meetings, prepare agendas, and compile materials
- Prepare, review, and distribute reports, presentations, meeting minutes, and other documents
- Coordinate domestic and international travel arrangements and expense reports
- Act as primary point of contact for the PMO to facilitate technical and programmatic discussions
- Manage programmatic and technical projects and assist in PMO briefing package preparation
- Track budgets/financial reports to support Program Management Reviews (PMRs)
- Manage the tracking of sales/purchase orders for PMO production requirements
- Collaborate with finance lead to ensure accurate budget estimates
- Manage program timelines, schedules, and deliverables using Microsoft Office, SharePoint, etc.
- Manage hiring process for the PMO and follow-up with stakeholders to ensure deadlines are met
- Optimize and organize program-related documentation and meetings
- Safeguard highly confidential company information and PMO communications
Requirements
- 5+ years of experience in senior project/program support roles
- BA/BS in related field is preferred
- Alternatively, additional four years of direct experience may replace education requirement
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to quickly develop expertise in PMO-specific processes and protocols
- Experience managing complex program schedules and deliverables
- Ability to assess information from multiple sources and develop actionable recommendations
- Strong organizational, communication, and multitasking (desired)
