About the role

  • Maintain the executive's agenda and assist in planning appointments, board meetings, and conferences.
  • Attend meetings and take accurate minutes.
  • Receive and screen phone calls, redirecting them as necessary.
  • Handle and prioritize all correspondence (emails, letters, packages, etc.).
  • Arrange travel for executives.
  • Manage confidential documents to ensure their security.
  • Prepare invoices or financial statements and assist with bookkeeping tasks.
  • Monitor office supplies and negotiate with suppliers for cost-effective orders.
  • Maintain organized electronic and paper records for easy accessibility.
  • Conduct research and prepare presentations or reports as assigned.

Requirements

  • Bachelor's degree in Business Administration or a related field
  • Minimum of 3 years in a similar role
  • Proven experience as an executive secretary
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Proficient in Microsoft Office Suite
