Administrative Assistant

• Responsible for the successful on-boarding of all new Sales Agents (creating Welcome Kits and Benefit Packets, conducting new Agent orientations, coordinating BIO information for web site).
• Act as a liaison between Agents and internal Departments (Accounting, Marketing, Human Resources).
• Accurately prepare and copy board packages as instructed by Agents.
• Provide administrative support to Agents (generate letters, copy, fax, assist with mailings).
• Assist Agents with uploading photos for listings, running credit reports, and responding to general client inquiries.
• Run daily listings search for Agents and email to all by 9:00 am.
• Order and track business cards and name plates for Agents.
• Coordinate and track advertising loans between Agents and Marketing.
• Process mail and create the mailing tracker to be sent to Marketing.
• Proofread all deliverables and communications; ensure consistency and standards on all work products.
• Maintain the Agent mailbox directory.
• Format and produce production-ready marketing pitching materials for client and prospect presentations; assist with presentations.
• Provide back-up administrative support and assist with special projects as needed.

Executive Assistant

• Provides administrative support to the President of the Sales Division, supporting the executive and interfacing with all departments.
• Assist the executive in the management of his/her respective schedules utilizing MS Outlook system.
• Answer phones courteously, respond to caller inquiries, take clear, accurate messages or offer Director’s voice mail system.
• Provide additional administrative support including database management, assisting with completion of assigned projects, report generation, events/meeting planning, invoice/expense reporting, copier projects, mail handling, supplies control, and processing of letters/correspondence.
• Demonstrate the ability to communicate effectively and professionally, both verbally and in writing, with internal and external contacts to the organization.
• Work with other administrative personnel to accomplish organizational goals.
• Perform special projects as assigned by the executive and handle multiple tasks with little or no supervision.
• Provide administrative support to other executive Sales Directors and/or Managers when necessary.
• Organize, prepare for, and take minutes for Monthly Sales Meetings.
