Manager

• Lead the NYC Summer Math Enrichment team with clear goals, reflection cycles, and collaborative practices
• Define and delegate clear roles and responsibilities across the NYC Summer Programs team that cover all the required tasks for planning and implementing your team’s summer programs
• Develop and maintain project management and data tracking tools to monitor the ongoing implementation of summer planning tasks and progress toward summer planning goals
• Support the design and facilitation of site leadership training and pre-camp training for all summer staff
• Collaborate with the Central Summer Program team and Human resources in developing a sustainable recruitment strategy for NY summer staff and implement localized initiatives and/or partnerships that contribute to the hiring goals.
• Plan and lead the team’s school partnership and admissions strategy to fully enroll all summer program locations with eligible, strong-fit NYC students
• Conduct in-person visits to partner schools to support student admissions
• Manage the student application process, including admission challenges, interview coordination, and financial/merit eligibility
• Secure multi-year site contracts with local schools and state universities to host summer programs; serve as site liaison for ongoing communication and compliance with site admin hosts
• Lead family engagement strategy for maximizing student engagement and retention throughout the admissions season and into the first week of summer programming

Manager, Summer Math Enrichment

Operations

• Onboarding and Offboarding: Install, maintain, and procure technology hardware such as laptops, onsite workstations, and printers for employees. Manage user onboarding and offboarding for enterprise and general business applications such as but not limited to: Asana, Miro, Slack, and RingCentral. Provide end user support and access management to TalentLMS, including enrollment in mandatory trainings Mandated Reporter and Harassment Prevention. Support the IT team with new hire enterprise systems training. Manage Google Workspace User and Group administration.
• End-User Technical Support: Handle inbound level 1 and 2 service desk requests from staff regarding system and software related issues through Mojo Helpdesk; escalating complex or urgent issues to the Director, IT Systems & Operations. Provide in-person support to end users in NYC HQ office and remote support through ZohoAssist to end users working in other states. Maintain proper user permissions and data access, promoting best practices in system usage and data management. Communicate system updates, feature rollouts, and process changes to users in a clear and timely manner.
• Process & System Optimization: Assist in mapping current workflows across IT, HR, and Finance to identify manual bottlenecks, redundant data entry, and opportunities for automation. Execute the configuration and testing of automation tools (e.g., Zapier, internal scripts, etc.) to link systems, such as syncing timesheet data between platforms. Support the daily maintenance of cross-departmental integrations, monitoring for errors and performing first-level troubleshooting before escalating complex issues to the Director, IT System & Operations. Assist in gathering requirements from end-users in HR, Finance, and IT to understand pain points and translate them into clear technical tickets or project briefs for the Director, IT Systems & Operations. Evaluate and recommend vendors for hardware, software licenses, cloud subscriptions, and other IT services based on technical needs. Act as the primary point-of-contact for technology equipment vendors, leading procurement efforts.
• Telecommunication Management: Serve as the lead admin for RingCentral phone system. Configure and update RingCentral’s IVR (Interactive Voice Response) system, including call routing and ring groups for summer and year-round programs. Maintain the organization’s phone directory, ensuring accuracy and accessibility for all staff.
• Training and Documentation: Create and manage documentation on enterprise systems, hardware, projects, and technology implementations. Collaborate with IT team to tailor guidance and support to department-specific workflows. Gather user feedback to identify areas for additional support or training. Recommend best practices to optimize productivity and minimize errors.

IT Systems & Operations Coordinator

General

• The Coordinator, STEM Enrichment and Access plays a hands-on role in supporting BEAM’s mission to help students navigate pivotal academic and enrichment milestones.
• Working closely with the Manager, the Coordinator ensures smooth execution of day-to-day program operations, manages outreach and follow-up with students and families, and maintains accurate program data.
• Retaining students who have completed BEAM’s summer programs while also recruiting new high school students in 9th grade will be a critical part of the team’s work.
• In your family and student recruitment efforts you are expected to inspire students to engage in BEAM’s STEM enrichment programs, explore BEAM’s STEM career access experiences and maintain high engagement levels in a supportive community.
• This role is ideal for someone detail-oriented and organized, who enjoys building systems, ensuring follow-through, and engaging directly with students and families.
• The Coordinator helps deliver high-quality math enrichment and STEM exploration programs that prepare students for rigorous academic and career opportunities.
• Support the design and/or review of 8th Grade + H.S. STEM enrichment curriculum and STEM career exploration courses offered to BEAM students.
• Support the development of 8th Grade + H.S program management guides, policies and training resources.
• Help implement central guidelines and tools for monitoring program quality and evaluating program outcomes.
• Support BEAM’s relationships with a portfolio of eligible partner schools to achieve our student enrollment targets.
• Support the coordination of in-school and after-school events, workshops, and initiatives designed to directly recruit and retain students and engage families in our enrichment programs.
• Create weekly newsletters to students and families, including news about BEAM’s programs, interesting STEM enrichment opportunities and/or high school relevant news to support student engagement and academic success.
• Track student participation, enrollment, and outcomes in Salesforce and other BEAM systems.

Coordinator, STEM Enrichment and Access

Account Manager

• Lead planning and execution of BEAM's signature fundraising and cultivation events
• Manage donor engagement events such as Visiting Days, friendraisers, small-group conversations, corporate-hosted events
• Develop event timelines, manage logistics, oversee vendors and budgets, coordinate invitations and registration
• Identify, cultivate, steward, and grow relationships with select corporate partners and sponsors
• Support sponsorship strategy and execution for BEAM events
• Coordinate corporate engagement opportunities, including volunteer experiences, field trips, employee engagement activities, and site visits
• Support the management and engagement of BEAM's New York and Los Angeles Advisory Boards
• Coordinate board and advisory board meetings, communications, events, and follow-up activities
• Contribute to Advancement Team strategy and planning discussions
