• Serve as the primary point of contact for clients during onboarding.
• Build trust and deliver confidence through accounting expertise, guidance, and responsiveness.
• Clearly communicate timelines, deliverables, and process updates to clients.
• Perform in-depth quality control reviews and issue accurate financials during onboarding.
• Oversee reconciliations, record cleanups, and initial reporting packages.
• Ensure that financial reporting and documentation are accurate, consistent, and client-ready.

Accounting Manager

• Lead regular performance check-ins and ensure team members meet KPIs and standards.
• Foster a positive, accountable environment that supports an 85%+ staff eNPS and 90% retention of key team members.
• Directly manage a portion of clients, ensuring service quality and building trusted relationships.
• Oversee and contribute to financial account activity, including classifications, reconciliations, and month-end entries.
• Regularly discuss financial results and advise on improvements.
• Partner with specialists and associates to delegate appropriately and maintain quality standards.
• Ensure timely, accurate services for all clients in your pod, in alignment with agreements.

• Leverage cloud-based platforms such as QuickBooks Online (QBO), Xero, and payroll integrations to streamline operations.
• Manage and reconcile data feeds from timekeeping and scheduling systems (e.g., TSheets/QuickBooks Time, Deputy, When I Work) to ensure payroll accuracy and compliance.
• Research, monitor, and apply payroll laws, wage and hour regulations, and tax requirements across states and jurisdictions.
• Serve as the primary point of contact for payroll-related inquiries and manage multiple client relationships.
• Prepare payroll reports, reconciliations, and compliance filings as required.
• Identify opportunities for greater efficiency, automation, and standardization within payroll operations.
• Collaborate with team members and support development of a payroll-focused service offering.

Payroll Specialist

• Support the bookkeeping team by gathering and organizing financial documentation from clients
• Assist in populating and preparing data for upload into accounting systems (primarily QuickBooks Online, possibly Xero)
• Ensure accuracy in reports, uploads, and documentation; export data and identify efficient ways to streamline recurring tasks
• Maintain proper digital records by uploading documentation and entering notes into accounting systems and internal files
• Collaborate with bookkeepers on reconciliations, invoicing, and basic reporting support
• Communicate professionally with clients to request missing information or follow up on open items

Bookkeeping Assistant

• Consult with clients to recommend, implement, configure, and support financial and workflow software (RAMP, Gusto, Dext, Bill.com, Divvy/Spend & Expense, Uncat).
• Drive payroll software setup including earning codes, PTO policies, and employee data configuration.
• Map software integrations to clients' charts of accounts to ensure accurate financial reporting.
• Design workflows and document processes using flowchart tools (draw.io) and create standard operating procedures (SOPs).
• Support internal adoption of workflow improvements across a multi-client environment with competing priorities.
• Serve as a point of contact for clients during and after implementations, providing guidance and troubleshooting.
