About the role

  • Manage candidate pipelines within Greenhouse ATS, ensuring accuracy and timely updates across all stages.
  • Conduct initial resume reviews and pre-screens to identify qualified candidates quickly.
  • Send and track onboarding communications (welcome emails, pre-start documents, background checks, etc.).
  • Schedule and coordinate candidate interviews efficiently using ATS integrations (Calendly, Outlook, Zoom).
  • Assist in “Boldifying” CVs and preparing candidate profiles for client submissions.
  • Support recruiters and sales managers with scheduling, reporting, and candidate tracking.
  • Generate and maintain recruiting reports (time-to-fill, stage conversions, pipeline health) using Greenhouse dashboards and other tools.
  • Ensure all documentation, compliance items, and client-facing deliverables are accurate and timely.
  • Use AI tools to streamline workflows (resume parsing, drafting outreach emails, interview scheduling, data entry automation).
  • Research and recommend new tools, plug-ins, or automations that improve recruiter productivity.
  • Proactively identify bottlenecks and implement tech-enabled solutions for speed and quality.
  • Support the sales team with research on prospects and candidate availability.
  • Assist in preparing candidate slates and reports for client presentations.
  • Act as a bridge between sales and recruiting to ensure promises made to clients are executed on time.

Requirements

  • 1–3 years of experience as a Recruiting Coordinator, VA with recruiting exposure, or Junior Recruiter.
  • Strong experience with ATS systems; Greenhouse strongly preferred.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Tech-savvy and eager to learn new platforms quickly.
  • Experience using or comfort with AI tools (ChatGPT, AI scheduling assistants, automation tools like Zapier).
  • Proactive, resourceful, and eager to take ownership of tasks without needing step-by-step direction.
  • Ability to thrive in a fast-paced, client-facing environment.
  • Experience in offshore/remote team collaboration (preferred).
  • Exposure to sales support, CRM systems, or multi-channel outreach tools (e.g., Skylead, HubSpot, Apollo) (preferred).
  • Familiarity with reporting/analytics in Greenhouse or Google Sheets (preferred).
