About the role
- Execute and announce new contracts and amendments received from Offer Development colleagues.
- Carefully review the signed contract/amendment, associated datasheet and any other relevant documents and communication.
- Create the contract in SAP.
- Submit sales orders.
- Submit pricing requests.
- Announce the contract/amendment to Finance, Service and other departments as needed.
- Set up billing plans (fixed billing contracts).
- Proactively communicate with Offer Development to discuss and resolve issues and raise questions.
- Work with Marketing, Operations, Engineering, Technical Product Support, Planning, and other teams to gather the information needed to process quotes and orders.
- Communicate maintenance service terms and conditions to service contract coordinator to ensure timely creation of maintenance service agreement to enable entitlement for on-site service of the instrument (if applicable).
- Assist Customers, Field Service Engineers, Sales Representatives and Credit Department personnel regarding agreement pricing, inquiries, problems/complaints, etc.
- Provide assistance to Credit Department in researching past due invoices and problems situations.
- Prepare credit memos when appropriate, obtaining necessary approvals.
- Process internal extensions of contracts.
- Manage and track monthly reagent purchasing analytics (commitment tracking for reagent rental contracts).
- Support transition to Power BI for compliance reporting (parallel testing, updates, etc.); once implemented, continue to update and maintain contract information in Power BI to ensure accurate contract compliance reporting.
- Perform end of contract activities and process equipment returns (e.g. maintain Return Material Authorizations (RMAs), initiate RMAs, complete asset disposal forms, etc.).
- Respond promptly and accurately to inquiries/requests from Sales, Finance, Service and other teams regarding reagent rental type contracts.
- Maintain high level of customer support-responsiveness, timeliness, customer service (contract questions, issues).
- Contribute to the development and maintenance of standard policies and procedures to drive operational efficiencies and standardization of terms & conditions.
- Support process improvement projects (templates, forms, system updates, etc.) to drive operational efficiencies.
- Maintain contract files (set up / maintenance documents).
Requirements
- High school degree is Required.
- 3+ years of commercial contract administration experience preferred
- Work independently, multitask and prioritize workload to meet deadlines
- Analytical problem solver with business insight and attention to detail
- Demonstrated ability to act with speed, agility and accountability to drive desirable outcomes
- Proven ability to quickly establish credibility, trust, and support within all levels of organization
- Excellent verbal and written communications skills are crucial
- Proficiency in Microsoft Office, including Word and Excel, required
- Proficiency in Configure, Price Quote (CPQ), Salesforce, SAP, and Power BI highly desirable
