About the role
- Settle estates, process accounting entries, prepare tax documents for estate accounts, and respond to inquiries and estate-related matters within established internal deadlines.
- Ensure all information and request channels are kept up to date (for example, requests for OSM, Laserfiche, mailbox).
- Provide proactive support and maintain a positive attitude as a team member. Work closely with other operational teams and, when required, directly with advisors on complex matters.
- Review OCRI’s current estate settlement processes (formerly OCRCVM and ACFM) and proactively recommend improvements.
- Keep training materials and certifications up to date.
- Provide regular updates and escalate any outstanding items immediately so resources can be allocated.
- Review and maintain the following: OCRI checklists, team procedures and manuals, and regulatory change documentation.
- Monitor developments in the Canada Revenue Agency (CRA), Revenu Québec, Employment and Social Development Canada, the Civil Code, and trust regulations by consulting legislation, press releases and relevant industry bulletins.
- Settle estates, ensure spousal transfers on death and full disbursement of plans, and verify the date of death.
Requirements
- Post-secondary education and/or equivalent experience.
- Minimum 2 to 3 years of experience in the financial sector, preferably in estates, registered plans, or operations.
- Specialized knowledge of OCRI, CRA and Revenu Québec rules and regulations; knowledge of common law and civil law is an asset.
- Proactive problem-solving and strong analytical skills; able to present recommendations for review and implementation.
- Strong attention to detail and accuracy, with a focus on quality assurance.
- Ability to work independently and as part of a team.
- Exceptional customer service orientation.
- Excellent organizational and time-management skills, with the ability to work under pressure and meet deadlines.
- Solid knowledge of Microsoft Office (Outlook, Excel, Word).
- Knowledge of and experience with Dataphile is an asset.
- Fluency in written and spoken English and French is required to communicate effectively with partners, clients and colleagues across Canada.
- Ability to work standard Eastern Time hours.
