• Manage the acknowledgment process and ensure materials are ordered from manufacturers
• Align needed dates with acknowledged dates
• Resolve pricing discrepancies between purchase orders and acknowledgments
• Buy replenishment stock and create purchase orders
• Work with sales staff to order non-stock items
• Collaborate with vendors and internal teams to automate ordering processes
• Coordinate with project management to ensure materials are ordered in time for system ship dates
• Support expediting and purchasing options
• Participate in cycle and year-end inventory counts
• Manage stock and reordering volumes proactively
• Use tools to maintain stock quantities and ensure timely ordering
• Analyze vendor overspending and recommend new stock items
• Recommend improvements to inventory quality and processes
• Receive and ship all 'ship direct' invoices
• Resolve receiving discrepancies
• Assist with relevant reporting and metrics
• Perform other duties as assigned

Purchasing Assistant – Commercial Doors & Hardware

Billing Specialist

• Preparing, posting, verifying, and recording customer payments and transactions related to accounts receivable.
• Creating invoices according to company practices; submitting invoices/AIA billings and lien waivers to customers by monthly cut-off.
• Maintaining and updating customer records, including name or address changes, mergers, or mailing attentions.
• Drafting correspondence for standard past-due accounts and collections.
• Identifying delinquent accounts by reviewing files, and contacting delinquent accountholders to request payment.
• Researching customer discrepancies and past-due amounts and works with other staff to resolve issues.
• Assisting in generating monthly billing statements and mailing or emailing to customers.
• Assisting Accounting Manager with Financial and Bank audits by providing requested information to auditors.
• Copying, filing, and retrieving materials for accounts receivable as needed.
• Maintaining onsite financial records from legacy platform in log book.
• Performing other related duties as assigned.
