About the role

  • 9th Way Insignia is a service-disabled, veteran-owned small business bringing transformative technology to our government customers so they can achieve their missions.
  • As a Business Operations Coordinator, you will act as a force multiplier for the corporate team. The Business Operations Coordinator will streamline calendars and communications, run the operating cadence (agendas, action items, follow-through), coordinate cross-functional initiatives, and produce crisp executive-level materials that keep our organization moving.
  • Manage complex calendars, meeting logistics, and travel for senior staff; anticipate conflicts and priorities.
  • Drive the executive operating rhythm: set agendas, capture decisions, publish action logs, and ensure follow-up to closure.
  • Prepare briefings, talking points, and executive presentations; distill complex inputs into clear, concise outputs.
  • Orchestrate multi-stakeholder projects across Operations, Human Capital, PMO, BD, and Finance; surface risks, owners, and dates.
  • Stand up lightweight processes, SOPs, and templates that reduce rework and improve throughput.
  • Draft and edit executive correspondence, announcements, and meeting read-outs; maintain version control and distribution lists.
  • Build and maintain shared spaces (SharePoint/Teams/Drive) with clean naming, folder structures, and access controls.
  • Run high-stakes meetings end-to-end (prep, facilitation support, timing, and capture).
  • Serve as a polished front-line point of contact for internal leaders and external partners, exercising discretion at all times.
  • Support strategic initiatives and time-bound task forces; create trackers, dashboards, and simple metrics.
  • Handle confidential items with judgment; escalate issues promptly and appropriately.

Requirements

  • 5–8+ years in executive support, business operations, project coordination, or a similar role (professional services or GovCon preferred).
  • Demonstrated mastery of calendar/travel management, executive communications, and meeting production.
  • Proven ability to set structure (agendas, action registers, cadences) and hold teams to deadlines without formal authority.
  • Advanced proficiency with Microsoft 365 (Outlook, PowerPoint, Excel, Word), Teams/SharePoint.
  • Exceptional writing, proofreading, and slide-building skills; crisp, executive-level presence.
  • High integrity and discretion managing sensitive information.
