Billing Specialist

• Responsible for the timely submission of electronic invoices and accruals to clients on monthly basis, overseeing the transition of clients to e-billing, and providing follow-up support to attorneys and clients in all aspects related to electronic billing
• Handle heavy volume of highly complex e-submission assignments for key corporate clients; ensure all client guidelines, internal protocol, and firm's guidelines are followed during submission process
• Act as liaison between billing attorney/secretarial staff, and clients' staff assigned to electronic billing by providing expert level subject matter support
• Populate, maintain, and update data for assigned clients in the billing system and clients' external web applications; ensure all relevant information is updated and correlated in the firm's billing system
• Execute accruals, budgets, and information and data requests
• Work collaboratively with department's supervisor to support e-billing systems by adding/removing user accounts, resetting passwords, assigning proper security levels, entering budgets, status reports, and matter profiles in various sub-systems
• Perform ad hoc analyses of complex client accounts regarding collections, rates, and reduced and rejected invoices
• Conduct time and absence for direct reports, including ensuring system accuracy and compliance with timekeeping policies and procedures
• Communicate with direct reports, manager and client on job or deadline issues
• Immediately escalate operational problems or issues to Supervisor or Manager. Handle client concerns and be able to problem-solve resolutions in accordance with policies and procedures
• Ensure team provides outstanding service to client, while building strong customer relationships
• Produce required reports on schedule

• Own the end-to-end billing process across subscription and usage-based revenue

• Make real-time decisions to ensure billing continues moving forward
• Reduce dependency on manual review by standardizing workflows

Billing Manager

• Interface with Shared Services, Service Work Order Team (SWOT) to maintain compliance to customer invoicing requirements
• Manage Non-Quoted Repair (NQR) special billing requirements
• Analyze NQR Service Orders to identify orders requiring further review
• Collaborate with all key stakeholders during maintenance and repair projects

Billing Coordinator

• Interface with Shared Services, Service Work Order Team to maintain compliance with invoicing requirements
• Manage Non-Quoted Repair (NQR) special billing requirements
• Analyze Non-Quoted Repair (NQR) Service Orders for necessary reviews with management
• Collaborate with key stakeholders during maintenance and repair projects

• Collaboration: Collaborate and communicate with CRLs and their engagement teams on a regular basis in order to gain knowledge on billing expectations related to specific industry standards and individual job progress.
• Responsible for continual analysis of past billing and current trends in order to actively participate in billing discussions, up to and including, providing suggested amounts to bill for both standard and out of scope work.
• Information Management: Maintain accurate billing records and files. Continual review of billing information to identify any discrepancies or errors. Work with internal teams to identify and correct any discrepancies or errors.
• Delegate work, as appropriate, to Coordinators. Review and assist Coordinators with complex errors and difficult accounts.
• Analysis: Stay up-to-date on industry regulations and trends across the firm related to client billing. Compare and analyze billing rates and job specifics across the firm to ensure industry consistencies and standards are met. Analyzes billing and complex accounts to help find opportunities for improvement and optimization.
• Processing: Process and monitor invoices to ensure accuracy and completeness. Work with CRLs and engagement teams to ensure out of scope activities are properly billed. Prepare and submit reports on billing activities and trends.
• Practice Management: Involvement on other billing-related matters, as needed. May collaborate and assist on items such as new client setup, data validation, creation and maintenance of Billing Schedules. Continually monitor prepaid, installment, and scheduled bills for client WIP consumption.
• Client Service Support: Partners with CLA team members to gather additional information, as needed. Takes the lead on responding to customers’ inquiries and requests regarding billing discrepancies and issues. Communicates updates and logistics to internal clients.
• Revenue Cycle Management: Assist with matters related to the entire revenue cycle such as A/R posting, data management updates, A/R adjustments, A/R helpdesk, ad hoc client expense entries, etc. as needed.
• Financial Analysis: Follows up on aging A/R with engagement leaders, which may include direct interaction with clients. Actively follows up with engagement leaders on large work in process (WIP) jobs that need to be billed.
• Supports the Managing Principals, CRLs, Operations Directors, and Central Billing team members with proactive analysis of production, profitability, and overall financial performance on a weekly basis. Assists with implementation of firm-wide financial processes and initiatives. Assist with audits and other projects, as needed.
• Training: Provides day-to-day assistance to Coordinators within the team. Provide training to team members on new processes and procedures. Assist in training of Central Billing new hires. Assist in development of and maintenance of training materials and resources for team. Assist with Firm-wide training of new systems, resources, and processes.
