Operations

• You will take ownership of invoice reprocessing and ensure that invoice data is represented correctly, completely and plausibly in our platform.
• You will identify anomalies and systematic errors in LLM-based processing and provide structured feedback to the responsible teams so our models and processes improve.
• You will support our Data Quality Manager with ongoing tasks in data quality management, in particular maintaining and cleaning supplier data.
• Optional: You will contribute to AI reparsing — creating test cases, evaluating model outputs and documenting recurring error patterns.
• You will actively contribute to the development of our operations processes and help make repetitive tasks more efficient and increasingly automated.
• You will use modern AI tools such as Copilot, Claude and Cursor to analyze, document and automate routine work more quickly.

• Responsible for day-to-day office operations, including office management, workplace organization, and coordination of external service providers.
• Organize and run internal formats and events such as all-hands meetings, offsites and Christmas parties.
• Greet and support applicants, guests and customers on-site, including preparing meeting rooms.
• Assist with administrative tasks such as room scheduling and coordinating hardware setup.
• Responsible for invoice verification, mail management and other administrative processes in daily office operations.
• Support travel planning and trade show coordination.

• Eigenverantwortliche Bearbeitung komplexer Support-Anfragen – von Anwender:innenfragen zur Produktnutzung bis zu eigener, technischer Ursachenforschung.
• Entwicklung, Dokumentation und Pflege des Support-Playbooks und der Kernprozesse.
• Einführung und Optimierung von AI-gestützter Ticket-Deflection für repetitive Anfragen.
• KPI-Verantwortung (First Response Time, Resolution Rate) und datenbasierte Ableitung von Verbesserungsmaßnahmen.
• Vollständige Ticket-Dokumentation inkl. Lösungsweg als Grundlage für Self-Serve-Inhalte und Wissensaufbau.
• Kundenspezifische Auswertungen, Reports und Dashboards in enger Abstimmung mit Customer Success.
• Mentoring von Junior-Kolleg:innen – mit der Perspektive, das Support-Team langfristig mit aufzubauen.

Senior Customer Support Specialist

• Handle incoming support inquiries — from how-to questions to standard product-related cases.
• Complete (ticket) documentation including the resolution steps as a basis for self-serve content and AI deflection.
• Actively contribute to the development and continuous improvement of the support playbook and processes.
• Clearly assess and document inquiries: what you resolve yourself, what should be escalated to the team, and what goes to Engineering/Product.
• Support the team by preparing customer-specific analyses, reports, and KPIs.
• Capture customer feedback and KPIs (First Response Time, Resolution Rate) to provide a basis for product decisions and process improvements.

Customer Support Specialist

Customer Success Manager

• You act as the primary point of contact for your clients and build long-term, trusted relationships with relevant stakeholders — working closely with our Customer Support team, which is currently being set up.
• You manage pilot projects from kick-off to review and support the structured roll-out of our product into the existing processes of construction companies.
• You ensure high customer satisfaction through regular reviews, check-ins, and rapid problem resolution — and identify critical situations early before they escalate.
• In close coordination with our new Account Management team, you develop strategies focused on expansion potential, timing, and relevant contacts — and hand off upsell signals to Sales in a structured way.
• Together with your team, you drive the continuous improvement of our Customer Success processes.

• Du arbeitest eng mit dem Customer Success Team zusammen, hältst ihnen den Rücken frei und schaffst dabei echten Mehrwert für’s Team und unsere Kunden.
• Du wirst ab Tag 1 voll eingebunden und übernimmst sowohl Aufgaben rund um die operative Betreuung unserer Kunden, als auch Themen, die das Customer Success Team zukünftig noch besser machen werden.
• Du unterstützt das Customer Success Team in den täglichen operativen Aufgaben mit direktem Kundenbezug – von Datenverarbeitung und -pflege in unseren Systemen bis hin zur Erstellung von Auswertungen und Analysen für Kunden oder interne Zwecke.
• Du hast ein Auge auf unsere Kunden: Durch deine Analyse der Kunden-Accounts erkennst du Auffälligkeiten und Abweichungen direkt und kümmerst dich in Zusammenarbeit mit dem CS und anderen Teams um deren Aufarbeitung.
• Optional und bei Interesse: Du unterstützt das CS Team direkt in der Kundenbetreuung durch die Vorbereitung und Durchführung von Feedback-Gesprächen mit unseren Nutzer:innen, um zu hören, was gut läuft und wo wir besser werden können.
