• Manage the day to day purchasing of parts and supplies that support sales, project management, and customer support departments.
• Able to solicit and evaluate bids, negotiate prices and terms.
• Analyze quotations received, select or recommend suppliers with whom orders are to be placed, and schedules deliveries.​
• Create purchase orders from approved purchase requisitions through ERP. Email purchase order to the vendor and follow up on orders.
• Ability to determine best means to get orders to final destination.
• Own special projects that improve the material process such as auctions, recycling, sale of excess or obsolete inventory.
• Assist with proposals by contacting vendors for quotes.
• Manages inventory levels, available stock and lead times.

Account Executive

• Responsible for identification, long-term positioning and capture execution for key/strategic opportunities.
• Develop large, strategic captures in the commercial market space thru a matrixed team of functional and support specialists throughout the engagement from qualification through opportunity closure to include the development of technical solutions and win strategies; develop and execute capture plans, as well as refine bid strategies to enhance proposal readiness.
• Gathers, assesses, and validates new customer needs, both business and technical, working with Business Development, Project Management (Delivery) and Account Executives (Sales).
• Works with Account leads to determine appropriate contact plans and technical solutions to meet the customer's requirements and bid strategy to win the opportunity. Identifies customer-wide IT parameters and constraints that impact the solution.
• Identifies probable competition and evaluates relative strengths and competitive threats
• Anticipates, understands, and plans for market threats.
• Understands UT offerings and maps against assessment of client requirements/needs—identifies gaps and strategies to close business.
• Applies a comprehensive understanding of pricing, baseline pricing strategies, and the evolution of pricing strategies to translate into capture strategies that are competitive and compelling for the customer.

• Processing newly awarded jobs through WeSuite into Sedona, ensuring accurate and complete job setup.
• Reviewing and confirming that billing line items are correctly established and aligned with contract terms.
• Verifying that job costings transfer accurately between systems and resolving any discrepancies.
• Creating and organizing job document folders in accordance with company standards.
• Assigning Project Managers (PMs) to jobs and ensuring all required documentation and internal handoffs are completed.
• Contract & Order Setup – Review contracts, proposals, and supporting documentation to ensure accurate order entry and alignment with billing terms.
• Project Billing (AIA & Standard) – Prepare and issue invoices, including AIA billing and schedule of values, ensuring accuracy, completeness, and timeliness.
• Billing Issue Resolution – Partner with Sales, Project Managers, and Collections to resolve discrepancies that may delay invoicing or payment.
• Portal & Customer Billing Compliance – Manage billing through customer portals, ensuring all requirements are met and invoices are approved for payment.
• Reconciliations & Accuracy – Reconcile system billing with AIA documents and contract terms to ensure consistency and audit readiness.
• Cross-Functional Coordination – Collaborate with operations, procurement, accounting, and service teams to support project execution and billing needs.

Project Coordinator, Billing Specialist

• Lead due diligence workstreams, including functional diligence coordination, risk identification, and integration feasibility assessment
• Lead end-to-end post-merger integration for acquired businesses, including Day 1 readiness, functional workstream coordination, systems cutover, and synergy tracking
• Build and maintain the transaction playbook, including DD checklists, integration plans, and 100-day roadmaps
• Run strategic initiatives across the company, including ERP and quoting system improvements, service operations optimization, and cross-functional process work
• Partner with Finance on synergy modeling, tracking, and reporting to the executive team
