Executive Assistant

• Prepare and file statutory documentation with the Companies Registration Office (CRO)
• Prepare and file documentation with the Register of Beneficial Ownership (RBO)
• Prepare and submit Annual Returns and other statutory filings
• Draft Board Minutes, Written Resolutions and General Meeting Minutes
• Maintain and update the firm's company secretarial software
• Assist with corporate compliance and governance matters
• Support the Corporate Compliance Manager and Director with a range of compliance transactions
• Manage and deliver a variety of company secretarial and corporate administration assignments
• Ensure statutory deadlines are met and company records remain accurate and up to date
• Liaise with clients, legal advisers and regulatory bodies as required

Payroll

• Prepare weekly, fortnightly, and monthly payrolls using BrightPay software, ensuring all deadlines are met
• Review timesheets for accuracy before uploading to payroll software
• Calculate holiday pay and statutory payments (e.g., sick pay, maternity pay, paternity pay)
• Calculate and process benefits in kind for inclusion in payroll
• Maintain pension contribution records and upload reports to pension providers where required
• Assist with bank transfers for salary payments
• Distribute payslips on or before the payment date
• Submit monthly PAYE returns to Revenue and manage associated payments
• Manage a dedicated portfolio of payroll clients, liaising regularly to ensure excellent service
• Support the delivery of payroll services to a diverse portfolio, including domestic and international clients, ensuring work meets professional standards and agreed timeframes
• Liaise with clients throughout the year to maintain strong relationships
• Assist in proposals for new work and participate in presentations to prospective clients as required
• Conduct reviews and quality checks of payroll processed by junior team members
• Assist with technical queries and support the professional development of junior team members
• Support the payroll manager with team training and development where required
• Remain up to date with Irish payroll legislation to ensure compliance
• Attend staff meetings and training sessions as required
• Assist the Payroll Manager with invoicing and billing processes
• Uphold the firm’s code of ethics and business conduct
• Complete ad hoc tasks and assignments relevant to the role
