About the role

  • Provide administrative support to Engineering, Finance, HR, and the CEO.
  • Review, edit, and proofread key documents—like contracts and offer letters—ensuring they’re error-free and professional.
  • Streamline processes with DocuSign, preparing templates and tracking signatures.
  • Asset Management: Research, order, and track equipment or assets, keeping our team equipped for success.
  • Assist with onboarding and offboarding employees and contractors in BambooHR, SimplePay, and QuickBooks Time to ensure HR operations hum along smoothly.
  • Keep us on track by monitoring deadlines, sending timely reminders, and updating project statuses.
  • Coordinate virtual meetings, including scheduling interviews. May assist with some travel.
  • Maintain organized digital records and databases, ensuring easy access to critical information.

Requirements

  • A Canadian resident, legally eligible to work in Canada.
  • A pro with 3-5 years of administrative experience, adept at Microsoft Word, Excel, and Outlook and the ability to learn new tools quickly.
  • A communication whiz with flawless English skills—written and verbal—and a talent for spotting errors.
  • A self-motivated go-getter who shines in a 100% remote role, balancing independence with quick responsiveness.
  • Superbly organized, with a sharp eye for detail and a knack for managing shifting priorities.
  • A collaborative spirit with excellent interpersonal skills, ready to support a high-performing team.
  • Bonus: Prior HR or accounting ops experience—you’ll hit the ground running!
  • Equipped with reliable high-speed internet and comfortable using your personal cell phone and laptop for business purposes.
