Operations

• Assist with the implementation of daily school operations policies and procedures
• Oversee key operational functions such as arrival and dismissal procedures, ensuring safe and smooth student transitions
• Support families in reaching out to the transportation provider for changes in transportation and communicating transportation changes to key internal stakeholders
• Support the maintenance of school-wide systems and processes, including supply management and classroom operations
• Ensure classrooms are stocked daily with necessary materials and monitor cleanliness and orderliness at the end of each school day, adhering to quality measures
• Manage campus supply systems, including conducting bi-weekly inventories of supplies, ordering new materials as needed, and ensuring stock levels are maintained
• Coordinate with the district health coordinator/school nurse to ensure the health and safety of students and assist with any cleaning or safety needs
• Support the school attendance process by maintaining accurate attendance records and making daily attendance calls based on guidance from the PEIMS team
• Document and report attendance changes as needed, ensuring timely and accurate reporting, including tardies and medical excuses
• Ensure clear and effective communication with all community members and stakeholders, including families, teachers, and school staff
• Manage all incoming and outgoing phone calls for the school, ensuring prompt and professional responses to parent inquiries
• Support the scheduling of parent meetings with appropriate school team members and ensure all parent-facing materials are available and up to date
• Assist with school communications by preparing and sending family updates and school-specific notices
• Communicate effectively with students, families, and colleagues, responding to family concerns promptly and professionally
• Assist in providing translation support for Spanish-speaking families, facilitating effective communication with school leaders and teachers
• Ensure the school environment is orderly, responsive, and welcoming to students and families
• Manage student behavior by providing consistent rewards and consequences, ensuring students adhere to the school's core values and code of conduct
• Assist with school events, parent engagement activities, and field trips as needed
• Support the planning and execution of school events and activities, ensuring smooth coordination and organization
• Support the administration of the National School Breakfast Program, National School Lunch Program, and after-school snacks, ensuring all programs meet compliance standards
• Assist with tracking and ensuring the accurate completion of required documentation for student information, health and safety records, and attendance
• Assist with managing the collection and maintenance of student, personnel, and school records, ensuring that all forms, contact information, and paperwork are up to date-and accurate
• Adhere to policies and procedures outlined in the Faculty and Staff Handbook, and all other Etoile guidelines
• Perform general duties to support the smooth operation of the school, including hallway supervision, supporting arrival and departure transitions, and participating in school-wide responsibilities as requested by school leaders
• Coordinate with service providers and maintenance staff to ensure school facilities are clean, safe, and well-maintained
• Support technology and basic classroom operations, ensuring that systems function and staff have the necessary resources
• Perform other related duties as assigned, supporting the overall success and orderliness of the school.

Operations Associate

Recruitment

• Ensure all grade levels (K-8) are fully enrolled by the 10th day of school
• Develop and execute recruitment strategies targeting families with school-aged children within a 5-mile radius of the campus
• Implement a comprehensive marketing plan, including social media campaigns, community outreach, off-site presentations, and partnerships with local organizations
• Actively make cold calls, attend community events, and conduct neighborhood walks to generate interest and recruit families
• Support families through the application process, offering assistance with both online and paper applications
• Organize bi-weekly campus open houses to engage with prospective families
• Track all stages of the enrollment process, from applications to registration
• Oversee the re-registration process by sending reminders and following up with families
• Coordinate and manage all aspects of student orientation
• Develop and execute campaigns to re-engage families who have withdrawn during the year
• Promote Etoile Academy through community events and informational fairs
• Identify and build relationships with local community organizations
• Create a series of engagement initiatives to maintain strong relationships with current and prospective families
• Lead efforts to help new students and families integrate into the Etoile Academy culture
• Manage and develop the student recruitment team and track recruitment metrics

Student Recruitment Manager

Executive Assistant

• Manage complex calendars, including scheduling meetings, prioritizing requests, and resolving conflicts.
• Coordinate logistics for meetings, including agendas, materials, note-taking, and follow-up actions.
• Serve as a primary point of contact between executives and internal/external stakeholders.
• Draft, proofread, and manage professional correspondence on behalf of leadership.
• Support cross-functional projects by tracking timelines, deliverables, and key action steps.
• Assist in the preparation of presentations, reports, and board materials.
• Coordinate travel arrangements, events, and leadership meetings.
• Maintain organized systems for documents, files, and records.
• Facilitate clear and timely communication across departments.
• Support internal communications, including staff updates and leadership messaging.
