About the role
- Maintain an accurate and up-to-date record of all design and construction-related documents, including drawings, specifications, manuals, reports, and correspondences using electronic document management software.
- Update technical submission schedules, method statement schedules, RFI registers, submittal registers, and drawing registers.
- Assist in the preparation of project progress reports by providing accurate documentation updates.
- Control/track/issue pertinent documents from the client, contractors, and subcontractors.
- Ensure that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
- Produce logs, transmittals, and other reports as required.
- Archive contract/project documents and successfully close out and handover of the documentation as required.
- Proof billing reviews and client invoices for accuracy.
- Ensure compliance with client and/or project manager standards.
- Create templates for client-specific formatting.
- Coordinate the production of reports, technical papers, forms and summaries and other documents with a high level of complexity and confidentiality, utilizing other staff administrative resources as necessary and appropriate.
- Compose material and information and type and design general correspondence, memos, charts, tables, graphs, business plans, reports and documents relating to client, project, and professional matters.
- Proofread copy for formatting consistency, making appropriate changes or providing appropriate feedback to document originator. Responsible for accuracy and clarity of final copy.
- Sign correspondence as required.
- Assist with proposals and other marketing activities.
- Train and supervise other administrative staff on document control procedures.
Requirements
- A High School Certificate and 3 years (5+ preferred) of experience as a Document Controller or an equivalent combination of education and experience. (required)
- The candidate shall be fluent in English (required).
- Experience with Microsoft Office Excel, Outlook, and PowerPoint and electronic document management software as well as knowledge of engineering design consulting procedures, construction document control procedures. (required)
