About the role
- Ensure accurate and secure management of project documentation.
- Facilitate effective communication and support the project team.
- Manage the process around documentation distribution, including interfacing with clients & engineers' Document Management portals and ensuring compliance with all procedures.
- Maintain documents accurately including issue sheets.
- Manage requests for documentation from the project teams and other external parties.
- Liaise with project teams and external parties, distributing project-related information securely.
- Regularly review and maintain the accuracy of records, making updates as necessary.
- Ensure confidentiality around sensitive documentation.
- Prepare both regular and ad-hoc reports related to project progress and documentation.
- Train team members on document management processes and systems.
Requirements
- Ability to work collaboratively within a team and with various departments, as well as liaising with clients.
- Excellent communication and interpersonal skills.
- Maintain accurate registers, transmittals, and issue sheets, ensuring full traceability of document revisions.
- Ideally experienced with major Common Data Environments and Information Management Systems such as Aconex, Viewpoint, Asite, ACC etc.
- Proactive and willing to learn.
- Hands-on experience with SharePoint, MS Office, and MS Excel.
- Strong data organization abilities and keen attention to detail.
- Excellent time management skills and the ability to prioritize tasks effectively.
- Analytical and problem-solving mindset, particularly when dealing with document-related issues.
- Previous experience working as a Document Controller or similar role.
