About the role

  • Ensure accurate and secure management of project documentation.
  • Facilitate effective communication and support the project team.
  • Manage the process around documentation distribution, including interfacing with clients & engineers' Document Management portals and ensuring compliance with all procedures.
  • Maintain documents accurately including issue sheets.
  • Manage requests for documentation from the project teams and other external parties.
  • Liaise with project teams and external parties, distributing project-related information securely.
  • Regularly review and maintain the accuracy of records, making updates as necessary.
  • Ensure confidentiality around sensitive documentation.
  • Prepare both regular and ad-hoc reports related to project progress and documentation.
  • Train team members on document management processes and systems.

Requirements

  • Ability to work collaboratively within a team and with various departments, as well as liaising with clients.
  • Excellent communication and interpersonal skills.
  • Maintain accurate registers, transmittals, and issue sheets, ensuring full traceability of document revisions.
  • Ideally experienced with major Common Data Environments and Information Management Systems such as Aconex, Viewpoint, Asite, ACC etc.
  • Proactive and willing to learn.
  • Hands-on experience with SharePoint, MS Office, and MS Excel.
  • Strong data organization abilities and keen attention to detail.
  • Excellent time management skills and the ability to prioritize tasks effectively.
  • Analytical and problem-solving mindset, particularly when dealing with document-related issues.
  • Previous experience working as a Document Controller or similar role.
