Executive Assistant

• Manage all CEO communication channels (email, Slack, phone) with speed, discretion, and precision
• Filter, categorize, and clean inboxes for clarity and action

Executive Assistant – CEO

Chief Marketing Officer

• Lead and oversee all marketing functions: organic, paid, content, email, design, and events.
• Build, mentor, and scale a high-performing marketing team.
• Develop and execute strategies for product launches, event ticket sales, and high-ticket program growth.
• Ensure marketing efforts consistently drive revenue and profitable growth.
• Architect and oversee paid media strategy, balancing high-level vision with tactical execution.
• Monitor performance across all channels, identify patterns, and adjust strategies as needed.

Head of Marketing

Sales

• Generate leads and schedule appointments for product presentations and sales pitches.
• Arrange and coordinate meetings between prospective customers and closers.
• Attend sales team meetings and training sessions as directed by management.
• Following up with potential customers who expressed interest but never committed to move forward in the sales process.
• Consistently increase product knowledge by consuming the content in the sales training center.
• Participate in daily sales syncs via zoom to discuss sales initiatives, study sales call game tape, and strategize around the pipeline.
• Engage in question led discovery dialogue to identify challenges, pain points, and gaps that create the need, desire, & urgency for WFS offers.
• Build relationships with leads, using a consultative sales approach to understand their goals, objectives, and dominant buying motives.
• Utilize WFS sales material to ensure leads consume content prior to showing up to the call with a closer
• Achieve or exceed sales appointment quotas and targets, consistently meeting or exceeding sales performance expectations.
• Adhere to CRM best practices to track and manage sales activities, including lead management, follow-up, and accurate forecasting.
• Collaborate with cross-functional teams to ensure a seamless and successful sales process.
• Display WFS core values at all times to contribute to a high performance culture.

Setter – High Ticket Sales

Revenue Operations

• Own HubSpot configuration, optimization, and maintenance across all client accounts
• Lead CRM setup for new accounts, including integrations with dialers, schedulers, and reporting tools
• Build and maintain CRM documentation (playbooks, SOPs, workflows) for org-wide consistency
• Collaborate with the data team to align CRM with external data pipelines and dashboards
• Enforce auditing, data quality standards, and pipeline discipline while overseeing CRM auditing team
• Partner with leadership and RevOps to support forecasting and growth initiatives
• Continuously streamline workflows and improve user experience
• Act as internal escalation point and subject matter expert for HubSpot best practices
• Lead CRM onboarding for new hires and accounts to ensure smooth adoption
• Track and deliver on CRM initiatives tied to quarterly operational targets

Head of Revenue Operations

Customer Success Manager

• Support sales team growth by managing tech stack and automations
• Assist Director of Sales Ops with onboarding and setting up new accounts and sales reps
• Ensure all new sales reps are setup correctly from a tech stack perspective before they go live
• Implement and set up new tech stack, systems, and processes
• Communicate with the brand’s marketing team on lead flow initiatives
• Create and manage tech integrations using Zapier (Pipedrive, ActiveCampaign, Typeform, OnceHub etc)
• Build out automations and workflows in the CRM with Director of Sales Ops oversight
• Create new reports and dashboards in CRMs
• Complete CRM configuration SOP for new accounts
• Take full ownership of all OnceHub activity including booking links, pages, resource pools, rep availability, and documentation
• Own tech stack related items in the launching a new sales engine SOP
• Upload and update trainings in the sales resource center
• Serve as resident expert on sales systems and processes
• Manage rep adherence to CRM processes and troubleshoot lead flow or integration issues
• Ensure data in Looker Studio are accurate

CRM Integration Specialist

Senior CRM Administrator, HubSpot

• Support the sales team’s growth by managing and maintaining the sales tech stack
• Assist Director of Sales Ops with onboarding and setting up new accounts and sales reps
• Ensure new sales reps are set up correctly from a tech perspective before taking live calls
• Implement and set up new tech stack, systems, and processes
• Communicate with brand marketing teams on lead flow initiatives and integrations
• Create and manage tech integrations using Zapier across systems (Pipedrive, ActiveCampaign, Typeform, OnceHub, etc.)
• Build automations and workflows in the CRM under Sales Ops instruction and oversight
• Create new reports and dashboards in CRMs
• Complete the full CRM configuration SOP for new accounts
