About the role
- Support the management of active client opportunities, ensuring timely, organized communication and consistent follow-up to drive progress
- Draft and send follow-up communications based on client conversations, proposals, and next steps
- Coordinate meeting scheduling and manage calendars with clients and internal stakeholders
- Track proposals, client responses, and next steps to maintain sales pipeline visibility
- Assist with building, formatting, and updating client proposals, scopes of work, and quotes using PandaDoc
- Maintain standardized proposal templates and ensure consistency across client-facing materials
- Maintain CRM accuracy and ensure all pipeline activity, client notes, and next steps are properly documented
- Track contract terms, renewal dates, and sponsorship timelines
- Transfer finalized scope details into project management tools (e.g., Monday.com) and create structured project boards
- Coordinate internal scope confirmation prior to contract execution while supporting seamless handoffs between sales and project management teams
- Support small client-related tasks, internal initiatives, and marketing efforts as needed
- Performs other duties as assigned
Requirements
- 1-3 years of professional experience in coordination, sales support, project support, administrative roles or customer service
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Bachelor’s degree in a related field preferred
- 4+ years of professional experience in coordination, sales support, project support, administrative roles or customer service preferred
- Experience with the software tools used in this role, including PandaDoc and Monday.com
