About the role
- Support day-to-day coordination of staff requests across travel, software access, procurement, and vendor management, ensuring timely and accurate resolution.
- Track timelines, deliverables, and dependencies across operational workstreams, surfacing gaps early and keeping stakeholders informed.
- Support updates to PJMF's internal knowledge management system and maintain operational documentation, guides, and resources so workflows stay clear and repeatable.
- Coordinate logistics for internal and external events from planning through post-event follow-up, including scheduling, vendor coordination, and travel support.
- Partner with teams across the foundation to ensure operational needs are addressed with consistency, responsiveness, and clear follow-through.
- Coordinate cost-effective travel arrangements for staff and improve the overall traveler experience.
- Support procurement activities, including vendor selection, contract management, and timely close-out of contract files.
- Contribute to quarterly risk register reviews and help build a risk-aware culture across the organization.

Requirements
- Bachelor’s degree 2+ years of relevant experience in operations, coordination, or service support work where accuracy, follow-through, and ownership of repeatable workflows mattered.
- Project Management: Ability to prioritize and manage multiple tasks concurrently. Comfortable with hands-on operational tasks; proven ability to manage multiple tasks and responsibilities with keen attention to detail.
- Tools and systems: Proficiency with Google Workspace. Comfort learning and operating in systems like project trackers and ticketing/request tools (e.g., Asana, Jira, or similar)
- Operational judgment: Strong instincts for prioritizing competing requests, clarifying ambiguity, and knowing when to escalate.
- Detail and reliability: Consistently produces high-quality work, maintains trackers, and closes loops without reminders.
- Service orientation: Enjoys enabling others through responsive support, clear communication, and dependable delivery.
- Remote self-management: Comfortable operating independently in a distributed environment with strong written communication and proactive visibility.
- Documentation mindset: Able to maintain and improve internal documentation and lightweight processes that make work repeatable and resilient.
