About the role
- Assist with bi-weekly payroll processing for a non-union, multi-state employee population by preparing, verifying, and entering payroll-related data accurately and on deadline
- Review timecard/timekeeping information and help resolve discrepancies in partnership with employees, managers, and HR/Operations
- Support payroll audits by validating pay period changes, maintaining checklists, and documenting corrections to promote accuracy and compliance
- Respond to employee questions related to pay, timekeeping, deductions, and payroll timelines with strong customer service and appropriate escalation when needed
- Maintain strict confidentiality of payroll and employee information, following company procedures and legal requirements when handling sensitive data
- Coordinate data and workflows across systems (e.g., Dayforce, Deltek Vantagepoint, FMIS, and MS Office) to support payroll, reporting, and administrative needs
- Provide support for the Accounts Payable function, including processing vendor invoices and processing payment runs
- Process expense reports and reconcile credit card transactions
- Enter and maintain supplier records (supplier master data) accurately and timely, partnering with Supply Chain Management to ensure required information is complete and compliant
- Assist with routine administrative tasks such as scheduling, document preparation, and maintaining digital/physical files in alignment with retention and security expectations
- Track and follow up on open items (e.g., missing approvals, incomplete documentation, outstanding employee questions) to close loops and reduce rework
- Support process improvement efforts by identifying recurring issues, suggesting practical fixes, and updating documentation as workflows evolve
- Provide general backup support for accounting department administrative needs as assigned (e.g., basic coordination, documentation support), ensuring consistent service coverage
Requirements
- High school diploma or equivalent (GED)
- 1+ year of experience in an administrative, payroll, HR, accounting, or customer service support role or an equivalent combination of education and experience
- Experience with Microsoft Office Suite (Outlook, Excel, Word)
- Demonstrated attention to detail, accuracy, and ability to follow documented processes and checklists in deadline-driven work
- Experience handling sensitive and confidential information with discretion and sound judgment
