About the role

  • Provide dedicated administrative support to executives (reports to a TDBG Vice President)
  • May support multiple VPs and AVPs and their respective teams
  • Manage executives' schedules by planning and scheduling meetings, conferences, teleconferences, and travel
  • Manage expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings; screen and direct phone calls and distribute correspondence
  • Act as point of contact among executives, employees, clients and external partners and manage information flow
  • Support broader team tasks such as office supply inventory, equipment and other administrative processes
  • Complete day-to-day and routine monthly activities with limited supervision and exercise discretion as required

Requirements

  • Post-Secondary education
  • 2+ years of experience
  • Proficiency gained through job related training to perform a range of duties
  • Working level knowledge of the business unit / operational functions as well as regulatory issues/requirements for jurisdictions
  • Ability to administer sensitive and/or confidential material requiring discretion
  • Experience providing administrative support to executives (scheduling, travel, expense management)
  • Ability to format communications (memos, emails, presentations, reports) and take meeting minutes
  • Ability to manage multiple tasks and use standard office equipment
