Billing Specialist

• Evaluate and redesign billing workflows and systems as this function scales, identifying and implementing improvements to processes inherited from multiple prior owners.
• Client Onboarding & Billing Account Setup. You will manage the billing setup process for newly onboarded clients by creating client profiles in Zoho, establishing initial subscriptions, and setting up bank account details to ensure accurate and timely billing activation.
• Billing Management & Client Invoicing. You will handle client billing operations, including setting up and updating billing subscriptions, reviewing and resolving billing inquiries, and issuing invoices for special projects and services. The role is also responsible for creating credit notes for billing adjustments, managing refunds, and coordinating billing adjustments with clients and internal stakeholders to maintain billing accuracy and client satisfaction.
• Client Payment Management. You will manage client payment-related processes by maintaining accurate payment records, coordinating payment method and bank account updates, monitoring billing transactions, following up on outstanding balances, and assisting clients with payment-related concerns to ensure timely and accurate payment processing.
• Billing Review & Reconciliation. You will conduct regular billing reviews and reconciliations to ensure alignment between billing records, permit data, and internal systems. Identify discrepancies, resolve inconsistencies, and maintain accurate and up-to-date billing documentation and records.
• Subscription & Pricing Updates. You will manage subscription and pricing updates resulting from permit changes, approved discounts, annual price increases, and other billing modifications while ensuring all updates are properly documented and communicated.
• Internal Coordination & Support. You will collaborate with internal teams to resolve billing concerns, provide updates regarding account and subscription changes, support billing-related inquiries during audits and reviews, and assist with pulling billing reports and financial data as needed.
• Referral & Commission Tracking. You will maintain and update client referral source information, monitor partner commission eligibility, manage referral expiration dates, and issue applicable referral credits for clients who successfully refer new business.

• Drive the long-term roadmap for the Sales & Marketing Team and provide thoughtful expertise to the senior leadership team. Ensure alignment with company strategy, focusing on process improvement, technology adoption, resource allocation and team capability building.
• Develop the Sales & Marketing Team members. Ensure adequate learning opportunities for all staff related to current innovative trends and emerging technologies, and other areas of interest. Effectively communicate processes, procedures and their underlying reasons to the team. Identify areas where employees need additional training and hold them accountable for their work.
• Take ownership of the overall messaging and positioning of the company. Understand the target customer to create messages that resonate with them, help create campaigns to reach them, and provide training to the team to communicate that messaging consistently and effectively.
• Monitor industry trends and competitor activities. Provide insights and recommendations to inform and adjust business strategies.
• Build and maintain strong relationships between Sales & Marketing and other departments. Ensure effective communication loops that align on goals, projects and outcomes.

Onboarding Specialist

• Own the onboarding process from client sign-up through completion. Build and manage onboarding timelines, track dependencies, and proactively remove blockers to keep projects moving forward. Hold both clients and internal teams accountable through clear expectations and steady, professional follow-up.
• Serve as the primary point of contact for clients during onboarding. Translate complex sales tax and data concepts into simple, actionable explanations. Set clear expectations, provide guidance, and help clients feel supported, informed, and confident throughout the process.
• Coordinate closely with internal teams (including tax settings, filing, etc.) to ensure dependencies are understood, work is sequenced correctly, and handoffs happen on time. Act as the central source of truth for onboarding status and next steps.
• Analyze large and often complex transaction datasets using Excel to understand how client data flows through systems. Create clear, practical mapping notes that explain how the client’s transactions should be categorized for tax collection and filing. Partner with internal teams to apply those mappings in our tools, and identify gaps or inconsistencies in the data so they can be resolved quickly.
• Interpret sales tax-related findings and explain their implications to clients from a big-picture, consultative perspective. While you will not perform nexus analyses, you will help clients understand results, obligations, and decisions in partnership with other teams.
• Continuously look for ways to improve the onboarding experience and internal workflows. Contribute ideas, document learnings, and help evolve processes so onboarding becomes smoother, faster, and more scalable over time.
