About the role

  • Coordinate sophisticated scheduling across multiple time zones, prioritizing meetings and ensuring leadership time is optimized
  • Arrange, prepare materials for, and take minutes at key meetings, following up on action items to ensure completion
  • Plan and organize domestic and international travel, creating detailed itineraries and managing logistics
  • Maintain organized filing systems for confidential and important documents, ensuring easy retrieval and proper security
  • Prepare, process and ensure all purchase orders, invoices and expenses are handled in a timely and accurate manager
  • Set deadlines for, track and remind colleagues of governance related tasks
  • Assist with special projects, research, and initiatives that advance the department's strategic objectives
  • Coordinate team activities, onboarding processes, and departmental events to foster collaboration and team spirit
  • Establish and maintain good relationships with assistants of key internal collaborators, as well as external partners

Requirements

  • Minimum 3-5 years of experience providing executive-level administrative support
  • Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Demonstrated ability to manage complex calendars and coordinate high-level meetings
  • Outstanding written and verbal communication skills in English; additional languages are a plus
  • Bachelor's degree or equivalent combination of education and experience
  • Experience in the insurance, financial services, or professional services industry is a plus
  • Knowledge of marketing operations and branding principles
  • Experience with project management tools and methodologies
  • Ability to work with virtual teams across multiple time zones
  • Problem-solving mindset with a track record of process improvement
