• Maintain and manage the company’s comprehensive swatch database across warehouse and direct container businesses.
• Coordinate all swatch program activities to ensure accuracy, consistency, and timely execution.
• Ensure overseas agents and internal stakeholders are regularly updated regarding new swatch introductions, changes, and discontinuations.
• Work closely with the U.S. team to ensure swatch libraries are updated throughout the year and prior to trade shows.
• Develop and maintain standardized processes and documentation related to the Swatch Program.
• Identify opportunities to improve efficiency, organization, and turnaround times within the swatch process.
• Liaise with suppliers to order fabric rolls and materials for swatch memo production.
• Coordinate rug swatch orders with applicable suppliers and vendors.
• Manage communication with vendors regarding swatch production timelines, replenishment requirements, and delivery schedules.
• Monitor all new swatch introductions to ensure timely setup and replenishment planning.
• Maintain oversight of swatch inventory levels and coordinate replenishment requirements with internal teams.
• Compile swatch specifications and information required for memo labels and system setup.
• Ensure completed swatch memos are properly received into the inventory system and available for ordering.
• Communicate all swatch updates, additions, and removals to Sales and internal stakeholders.
• Work closely with the Marketing team regarding branding elements, collateral, and promotional materials related to the Swatch Program.
• Monitor the company’s dedicated swatch email account and ensure inquiries are responded to within established service timelines.

Operations Coordinator

Supply Chain

• Assist in developing and executing inventory planning strategies to maintain optimal stock levels, considering factors such as sales forecasts, lead times, and seasonality.
• Collaborate with the sales and marketing teams to analyze market trends, historical data, and customer demand patterns to create accurate demand forecasts for home furnishing products.
• Monitor and manage purchase orders, ensuring timely placement, delivery, and availability of inventory while maintaining appropriate inventory turns.
• Liaise with suppliers to confirm order details, track shipments, and resolve any supply-related issues, ensuring on-time delivery and resolving discrepancies.
• Conduct regular inventory analysis, including reviewing stock levels, identifying slow-moving or obsolete items, and proposing action plans for inventory optimization.
• Generate reports on key performance indicators (KPIs), inventory metrics, and supply chain performance, providing insights and recommendations for improvement.
• Collaborate with cross-functional teams, including procurement, logistics, sales, and customer service, to ensure alignment and efficient supply chain operations.
• Identify opportunities for process enhancements and actively contribute to the continuous improvement of supply chain processes and system.
• Attend evening calls once or twice per week to collaborate with North American stakeholders and ensure effective cross‑time‑zone communication.
• Conduct occasional factory visits to support operational oversight and relationship management.
